About Us

I Fix Physio is a growing allied health practice dedicated to delivering high-quality physiotherapy care to our community. We're entering an exciting growth phase, with plans to expand into additional clinic locations, and we're looking for an experienced Practice Manager to lead our operations and help build the foundations for that expansion.

About the Role

As Practice Manager, you'll take full ownership of day-to-day clinic operations, freeing up the Directors to focus on clinical excellence and business growth. You'll be the operational backbone of the practice — managing our team, systems, finances, and patient experience — while working closely with the Directors on strategic decisions and expansion planning.

This is a hands-on leadership role suited to someone who thrives on structure, process improvement, and building a well-run, efficient practice.

Key Responsibilities

- Clinic Operations — Oversee all day-to-day operations across reception, scheduling, and clinical support functions, ensuring the clinic runs smoothly and efficiently
- Team Leadership — Manage, roster, and support reception and admin staff; set clear expectations and standards for patient service
- Financial Management — Manage practice finances using Xero, including invoicing, reconciliations, expense tracking, and reporting to Directors
- Practice Software — Oversee use of Cliniko for scheduling, patient records, billing, and reporting; ensure data accuracy and system optimisation
- Patient Experience — Ensure a high standard of patient care from first contact through to follow-up; handle escalated complaints or concerns




- Compliance & Standards — Maintain compliance with health fund requirements, Medicare/DVA/NDIS processes, privacy obligations, and industry regulations
- Director Liaison — Provide regular reporting and updates to Directors on clinic performance, staffing, and operational issues; act as a key sounding board for business decisions
- Growth & Expansion — Work with Directors to help design and implement systems and processes that can scale as the business expands to additional locations
- Supplier & Vendor Management — Manage relationships with suppliers, health funds, software providers, and other external stakeholders

About You

- Proven experience managing an allied health or medical practice (physiotherapy experience highly regarded)
- Strong working knowledge of Cliniko practice management software
- Experience using Xero for bookkeeping, reconciliations, and financial reporting
- Excellent leadership and people-management skills, with experience overseeing reception/admin teams
- Strong understanding of health fund billing, HICAPS, Medicare, and related allied health administrative processes
- Highly organised, process-driven, and comfortable making independent decisions
- Excellent communication skills, with the confidence to liaise directly with Directors on business matters
- A proactive, growth-minded approach — someone excited to help build systems that support expansion into new clinics
