Support Services SA is a growing registered NDIS provider delivering person-centred in-home and community supports across Adelaide.
We are looking for an experienced NDIS Service Delivery and Rostering Coordinator to become a key part of our operational team.
This is a broad, hands-on role combining participant service delivery, staff coordination, rostering, administration and compliance.
You will work directly alongside the Operations Manager, helping ensure our participants receive reliable, high-quality supports and our staff have the information, guidance and structure they need to succeed. This is not a role where you will simply fill vacant shifts.
You will be involved across the full service delivery process, including participant onboarding, stakeholder communication, support worker matching, roster management, staff compliance and ongoing service reviews.
As Support Services SA continues to grow, there will be genuine opportunities to progress into senior service delivery, management and operational leadership roles.
ABOUT THE ROLE
You will play an important role in coordinating the day-to-day delivery of supports across our organisation.
You will build strong relationships with participants, families and support workers, oversee staff rosters and ensure participant and employee information remains accurate, current and compliant.
The right person will be organised, confident and solutions-focused. You will be comfortable taking ownership of issues, communicating clearly and responding quickly when changes or challenges arise.
KEY RESPONSIBILITIES
Service Delivery and Participant Coordination
• Coordinate the day-to-day delivery of supports for NDIS participants
• Act as a key point of contact for participants, families, support workers, support coordinators and other stakeholders
• Assist with participant enquiries, onboarding, service commencement and ongoing service coordination
• Develop a strong understanding of participant needs, preferences, routines and support requirements
• Ensure support workers receive the information they need to provide safe, consistent and person-centred support
• Monitor participant satisfaction, continuity of support and overall service quality
• Respond to feedback, concerns and changes in participant circumstances
• Assist with service reviews and changes to participant support arrangements
Rostering and Staff Coordination
• Create, manage and maintain efficient staff rosters
• Coordinate recurring supports, staff availability, leave, cancellations and roster changes
• Manage urgent and last-minute staffing requirements
• Match support workers with participants based on skills, experience, availability, personality and participant preferences
• Communicate roster changes clearly and promptly with participants and staff
• Monitor service continuity and identify roster gaps or workforce risks early
• Assist with the onboarding and induction of new support workers
• Build positive and professional relationships with employees
• Assist with staff feedback, performance concerns, training needs and service delivery follow-up
Administration and Compliance
• Maintain accurate participant and employee records
• Monitor staff compliance, including NDIS Worker Screening, Working with Children Checks, qualifications, training and mandatory documentation
• Assist with service agreements and participant documentation
• Maintain accurate information within ShiftCare and other internal systems
• Assist with incident reporting, complaints, feedback and follow-up actions
• Review shift notes and service records where required
• Assist with shift approvals, payroll preparation, payroll exports and roster-related enquiries
• Support quality improvement, audit preparation and internal compliance processes
• Work closely with management to improve systems, processes and service delivery outcomes
ABOUT YOU
You understand that strong service delivery is built through valuable communication, consistent staffing, accurate information and genuine relationships. Your personality and ability to adapt to other participants, carers and staff's personality will be key!
You can manage competing priorities, remain calm under pressure and make sensible decisions when unexpected situations arise.
You also understand that rostering is about more than filling an empty shift. It is about matching the right support worker with the right participant and protecting continuity, trust, safety and service quality.
To be successful in this role, you will ideally have:
• At least two years of experience in NDIS service delivery, rostering, workforce coordination or participant services
• Strong knowledge of person-centred NDIS service delivery
• Experience coordinating services for participants with varied support needs
• Experience creating, managing and adjusting staff rosters
• Experience communicating with participants, families, employees and external stakeholders
• Practical experience using ShiftCare or another NDIS rostering and client management platform
• Experience with participant and employee onboarding
• A positive understanding of the SCHADS Award and compliant rostering practices
• An understanding of NDIS provider compliance and documentation requirements
• Strong written and verbal communication skills
• Excellent organisation, administration and attention to detail
• The confidence to work independently, make decisions and resolve problems
• A genuine commitment to delivering reliable and high-quality participant supports
Experience using ShiftCare will be highly regarded but is not essential.
Applicants with strong experience using another NDIS rostering or client management platform are encouraged to apply, particularly if they are confident learning new systems.
ESSENTIAL REQUIREMENTS
The successful applicant must hold or be willing to obtain:
• Current NDIS Worker Screening Clearance
• Current Working with Children Check
• National Police Check
• Current Australian driver’s licence
• Current First Aid and CPR certification
• Full working rights in Australia
