As the final resting place of Australia's first canonized Saint, Mary MacKillop, our site is a vibrant hub encompassing a Museum, a heritage-listed Chapel, a Café, and comprehensive Conference and Accommodation facilities.

The Role

We are seeking a seasoned Executive Assistant that thrives on high-level executive assistance with comprehensive site-wide office operations management. Serving as the trusted partner, "eyes and ears," and gatekeeper to the General Manager (GM), the successful candidate will manage the daily administrative pulse of the site, coordinate critical Board governance, and orchestrate key events. This role requires a resilient, forward-thinking professional capable of managing diverse stakeholders and sensitive information with absolute discretion.

Key Responsibilities:

Manage the site-wide administrative operations of Mary MacKillop Place, such as postage, stationary, file management, rostering, staff amenities, etc.

Provide high-level administrative support to the General Manager (mainly diary management and some correspondence writing and research)

Manage Executive/Committee Board meetings from coordination, preparation and distribution of materials, managing attendance, documentation of minutes and follow through of action items.





Organise and manage events hosted by the GM (such as staff events, stakeholder events, etc.)

Perform account management for GM

Maintain records, documentation, and filing systems to a high standard

Support internal communication and coordination across the site

Act as the GM's eyes, ears, and gatekeeper

Act as the first point of contact for general enquiries, providing a professional and welcoming experience

About You

At least 2-3 years of experience handling executive support, office operations, or related senior administrative tasks

Excellent organisational skills with the ability to manage multiple priorities

Extensive experience supporting Boards and Committees in ensuring smooth management of meetings

Solid project-management skills and ability to govern project progress across multiple stakeholders

High level of attention to detail, discretion, and confidentiality when handling sensitive information

Great initiative and a knack for process refinement / implementation

Understanding of church hierarchies is a plus

Proficiency in Microsoft Office and administrative systems
