We are a well-established accounting firm in the heart of Liverpool. Our close-knit team prides itself on delivering personalised, high-quality accounting services to a diverse range of clients.

We are seeking an experienced and highly organised Administration Assistant to join our team. This is a key role within the practice, providing high-level administrative support to our accountants and directors while helping ensure the smooth day-to-day operation of the office.

Position Overview

As part of the administration team, you will be providing administrative support to management and accountants while ensuring the efficient running of key administrative functions across the practice.

We are looking for someone who can work both independently and collaboratively, manage competing priorities, demonstrate initiative, and take on responsibility for seeing tasks through to completion.

This is a hands on role, the successful candidate will work closely alongside our administration team, contributing equally to day-to-day administrative responsibilities. We value teamwork highly and are seeking someone who leads by example through their work ethic, willingness to assist others and positive attitude.

Key Responsibilities

Reception and Client Service

- Manage the reception area, ensuring a welcoming and skilled environment.
- Answer and direct incoming calls and enquiries.
- Greeting clients and visitors and providing exceptional client service.

Administrative Support

- Providing support to management and the accounting team.
- Monitor and manage a shared administrative inbox.
- Manage incoming and outgoing mail and correspondence.
- Scan, file and maintain electronic client records with a high level of accuracy.

Compliance & Practice Administration

- Liaise with the Australian Taxation Office (ATO), Australian Business Register (ABR), Australian Securities and Investments Commission (ASIC) and other government agencies as required.
- Prepare ASIC Forms and related compliance documentation.




- Assist with Company registrations, Trust establishments and other new entity formations.
- Maintain accurate records and ensure administrative processes are completed in accordance with firm procedures.
- Assist with workflow management and ensure jobs are appropriately tracked and actioned.

Team Support and Coordination

- Support the Practice Manager and admin team with day-to-day administrative requirements.
- Take ownership of assigned tasks and proactively follow up outstanding matters.
- Work collaboratively with the administration team to ensure work is completed accurately and deadlines are met.
- Foster a positive and cooperative team environment through open communication and willingness to assist others.

Accounting Support

- Assist in the preparation and collation of financial reports and client documentation.
- Undertake additional duties as required to support the effective operation of the practice.

You are confident to work autonomously and take accountability for your own responsibilities while recognising the importance of sharing workloads with the team to achieve common goals.

- Previous experience in administration within an accounting firm preferred, otherwise high level administration experience in a professional services environment.
- Experience with ASIC compliance.
- Be punctual, dedicated, reliable and trustworthy.
- Ability to work independently while contributing positively to the team.
- Excellent verbal and written communication skills.
- Proficiency in Office 365, Word, Excel.
- Strong organisational skills.
- High attention to detail.
