YWCA Canberra is looking for a Children’s Services Roster Clerk to join our dynamic School Age Care team. This is an exciting opportunity to play a vital role in supporting our services by coordinating staffing and ensuring our programs are resourced with qualified, passionate educators.

About the Role

Reporting to the Director of School Age Care, the Children’s Services Roster Clerk is responsible for the development, maintenance, and communication of rosters across our 14 School Age Care sites and School Holiday Programs, supporting rostering for approximately 150 staff.

You’ll be the key contact for staffing coordination, ensuring services are appropriately staffed with qualified educators while supporting a range of administrative and recruitment activities.

Key Responsibilities

- Develop, maintain, and communicate rosters for 14 School Age Care sites and School Holiday Programs, coordinating rostering requirements for approximately 150 staff.
- Source and roster educators with the appropriate qualifications to meet National Quality Framework requirements.
- Manage educator leave requests and staffing changes.
- Review and approve timesheets against rosters and submit for payroll processing.
- Verify educator qualifications and ensure compliance requirements are met before rostering staff into qualified positions.




- Support recruitment activities, including phone screening, interviews, and reference checks.
- Maintain and update the NQAITS Educator Worker Register to reflect staffing movements across services.
- Provide a paid on-call service each weekday and Sunday evening to support staffing needs.
- Assist the Children’s Services Quality Support Team with general administration and coordination tasks.

About You

You are highly organised, proactive, and thrive in a role where no two days are the same. You can confidently manage competing priorities, communicate effectively with a variety of stakeholders, and have a knack for finding solutions when unexpected changes arise.

The right person will have

- Excellent organisational skills and exceptional attention to detail.
- Strong written and verbal communication skills.
- Confidence using Microsoft Office Suite and Outlook, with the ability to quickly learn recent systems and software.
- A collaborative approach and the ability to work effectively within a high-performing team.
- Strong decision-making and problem-solving abilities.
- The ability to work under pressure and meet tight deadlines.

Qualifications & Experience

- Current Working with Vulnerable People (WWVP) Registration.
- Current National Police Check.
- Current Driver’s Licence.
- Australian citizenship or unrestricted rights to work in Australia.
- Solid communication, decision-making, and administrative skills.
- Qualification in Early Childhood Education and Care, or willingness to undertake study.
- Current First Aid Certificate, or willingness to obtain.
- Experience working within the Children’s Services sector.
- Understanding of educator qualification requirements and regulatory compliance.




- Knowledge of or experience working with rostering, workforce planning, or education and care environments.

WWVP Requirements

All YWCA Canberra employees are required to hold and maintain a valid Working with Vulnerable People (WWVP) registration for the duration of their employment. We operate under a strict ‘No card, no start’ policy, meaning this clearance must be obtained prior to commencing in any role.
