The opportunity

The Data & Systems Support Coordinator supports Aurora’s Technology & Data function by helping ensure organisational data is accurate, reliable, well documented, and used effectively by staff.

The role provides practical support across data quality, process documentation, system use, reporting, compliance support, and staff training. A key focus of the role is helping staff use Dynamics 365 (D365) and related systems correctly, supporting consistent data entry, checking reports and records for accuracy, documenting agreed processes, and helping teams understand how data should be captured, stored, used, and retained.

This is a hands‑on support role suited to someone who is detail‑oriented, process‑driven, organised, and comfortable working in a Microsoft 365 environment. The role will help reduce manual workload for the Impact and Data team by supporting data quality checks, policy adherence, system support, process writing, reporting checks, and practical user guidance.

Data Quality

Support day-to-day data quality activities across D365 and related systems.

Check reports, records, and datasets line by line to help ensure accuracy before information is used or shared.

Identify and follow up data issues such as duplicates, missing information, inconsistent entries, incorrect classifications, and incomplete records.

Assist with data validation, reconciliation, and basic data clean‑up activities.

Support regular checking of key data fields, views, reports, and records.

Dynamics 365 and Systems Support

Provide practical support to staff using D365 and related business systems.

Help staff understand how to use views, find records, update information, and follow agreed system processes.

Support onboarding and basic training for staff using D365.

Respond to basic‑intermediate system and data queries, escalating more complex issues where needed.

Assist with checking whether system records are complete, current, and aligned with agreed processes.

Process Documentation and Training

Write and maintain clear process notes, how‑to guides, and user instructions for data and system activities.

Help teams document current processes and evolve toward more consistent ways of working.

Support the development of simple, practical guidance for common activities such as data entry, report checking, record updates, views, consent records, registration records, and data requests.

Assist with staff training and refresher sessions on D365, data entry, reporting processes, and related tools.

Data Governance, Compliance, Storage, and Retention Support

Support implementation of Aurora’s data governance practices, including agreed standards for data quality, data storage, data retention, privacy, and compliance.

Assist teams to understand and follow Aurora’s data storage and retention policies.

Support activities related to consent, record keeping, data handling, and compliance requirements.

Help check whether records are being captured and maintained in line with agreed processes.

Support periodic reviews or audits of data, records, consent,



registration, and reporting information.

Reporting and Dashboard Support

Support the maintenance of Power BI dashboards, reports, and recurring reporting outputs.

Assist with checking report data for accuracy, completeness, and consistency.

Help prepare and validate data used in internal reporting, stakeholder reporting, program reporting, and dashboards.

Support basic data analysis and trend identification under guidance from the Impact & Data team.

Project, Product, and Digital Delivery

Support Technology & Data with practical tasks that enable system, data, and digital improvement work.

Use Aurora’s agreed project, product, documentation, and collaboration tools to support team delivery.

Help prepare and check data for system changes, testing, reporting updates, and process improvements.

Support basic user testing by following test steps, recording results, and documenting issues.

Stakeholder Support and Collaboration

Work collaboratively within Impact & Data Team, and broadly across Programs, Operations, and other internal teams.

Provide responsive and practical support to staff with different levels of data and system confidence.

Communicate clearly with technical and non‑technical stakeholders.

Support teams to improve how they capture, check, document, and use data.

Communicate respectfully and effectively with Aboriginal and Torres Strait Islander people, stakeholders, communities, and organisations.

Work collaboratively with team members to contribute to Aurora’s objectives.

Participate in organisational and team planning activities.

Provide regular updates and reporting as required.

Contribute to a culturally safe, psychologically safe, inclusive, and supportive workplace.

Exposure to CRM systems, business applications, or databases, preferably Dynamics 365 or similar.

Exposure to Power BI, Excel, or reporting tools.

Familiarity with Microsoft 365, SharePoint, Teams, and common office productivity tools.

General understanding of data quality, data storage, record keeping, and compliance requirements.

Well‑developed written and verbal communication skills.

Ability to take direction, ask questions, and exercise initiative within the scope of the role.

A demonstrated understanding of Aboriginal and Torres Strait Islander histories, cultures, organisations, and the issues facing Indigenous people in Australia is highly regarded.

Strong attention to detail.

A process‑driven approach to work.

Ability to check data carefully and identify errors or inconsistencies.

Good Excel skills for basic data checking,



filtering, sorting, and analysis.

Dynamics 365, Power Pages, Power Automate and related systems.

Good working ability across Microsoft 365, including Teams, SharePoint, Word, Excel, and Outlook.

Ability to write clear process documentation, instructions, and support notes.

Solid organization and coordination skills.

Able to communicate effectively with both technical and non‑technical users.

Ability to support staff patiently and practically.

Comfortable working with policies, procedures, records, and compliance requirements.

Open to feedback, continuous learning, and adapting to changing priorities.

Experience in a not‑for‑profit, education, community, government, or social impact environment.

Exposure to Microsoft Power Platform, including Power Apps, or Dataverse.

Exposure to data governance, privacy, records management, or data retention practices.

Experience supporting CRM adoption or business systems training.

Experience with dashboards, reporting, or data visualisation.

Experience supporting user testing or system improvement activities.

Interest in reporting, systems improvement, automation, digital delivery, and data‑informed decision‑making.
