Reporting to: Receptionist & Office Services Coordinator

ABOUT THE ROLE

We are looking for a proactive and personable Receptionist to join our front-of-house team and provide essential support to our Receptionist & Office Services Coordinator. This is a fantastic opportunity to work within a dynamic legal firm, contributing to the smooth daily operations across our national offices.

Our office hours are from 8:00AM to 6:00PM, We have two shifts being 8:00AM-4:30PM and 9:30AM to 6:00PM which are shared and alternated between our Reception & Office Services Coordinator and Receptionist.

You will be a key point of contact for clients, staff, and external stakeholders, ensuring a professional and welcoming environment at all times.

THE ROLE

Reception & Client Services – Daily core tasks and responsibilities

Answer and manage incoming calls across our 3 national offices, directing calls to the appropriate Colleagues or Practice Group

Warmly greet clients and visitors, ensuring a professional and welcoming first impression

Manage the Reception email inbox, including timely distribution of court-related correspondence

Collect and distribute daily incoming mail and coordinate outgoing mail and couriers

Maintain meeting room bookings and ensure all 3 conference rooms are presentation-ready

Update the company intranet daily with staff movements and availability

Organise catering for firm events, meetings, and celebrations

Maintain cleanliness in our reception area, kitchens, and stationary areas.

Organise online weekly grocery orders, ensuring we have sufficient quantity for all staff across the working week.





Office & Administrative Support – When required/as needed basis

Assist with stationery ordering, printer maintenance, and general office supplies

Assist with onboarding new staff, including hardware setup, induction plans, and building access

Help coordinate IT-related queries and liaise with the IT support provider

Assist with maintaining the asset register for laptops, monitors, and office equipment

Support building management liaison for maintenance, access cards, and facility issues

ABOUT THE CANDIDATE

Strong interpersonal skills with the ability to engage with a wide range of stakeholders

Excellent written and verbal communication skills

High attention to detail and strong organisational ability

Self-motivated and able to work both independently and as part of a team

Reliable, punctual, and professional in presentation and approach

Comfortable managing multiple tasks in a fast-paced workplace

Proficiency with Microsoft Office and general computer literacy

Prior experience in a receptionist, administrative, or corporate services role

High level of discretion and confidentiality

This role is ideal for someone who wants to be part of a collaborative and supportive team and enjoys setting a great first impression, front of house client facing role and the daily requirements of reception.
