This role supports the day-to-day operating rhythm of a fast-paced operational division and plays an important part in keeping the team organised, responsive and running smoothly. Reporting to the Executive Assistant and Business Operations function, the position works closely with operational leaders and corporate support teams to provide coordination and support across rostering, workforce planning, recruitment, training, compliance, finance, client coordination and people processes.
The role requires someone who is highly organised, proactive, adaptable and comfortable working in an environment where priorities can shift quickly. It would suit a strong Team Assistant looking to step into a broader coordination role, or an EA seeking to move from traditional executive support into a more operationally focused position. Strong communication, teamwork and attention to detail are essential.

Key Responsibilities
- Coordinate day-to-day rostering, scheduling and workforce coverage requirements.
- Track overtime, leave, absences and roster changes to support payroll accuracy and workforce planning.
- Support fleet, equipment, uniform and asset coordination, ensuring teams remain operationally prepared.
- Manage procurement, stock control and general office administration, including supplies, meeting coordination and workplace presentation.
- Coordinate recruitment activities, interviews, onboarding requirements and new starter documentation.
- Maintain records relating to licences, certifications, qualifications, training and compliance requirements.
- Support training coordination, including attendance tracking, renewals and compliance follow-up.
- Work closely with Finance and Operations to support cost tracking, resource utilisation reporting and budget management.
- Coordinate operational requirements from initial request through planning, logistics, allocation and delivery.
- Liaise with clients, suppliers and internal stakeholders to ensure clear communication and effective outcomes.
- Act as a key coordination point between Operations, Finance, HR and other support functions.
- Provide broader administrative support and assist with projects as required.
- Maintain discretion and confidentiality when handling sensitive business, client and employee matters.
About You
Essential
- Proven administration, coordination or operations support experience in a fast-paced environment.
- Experience working with rostering, workforce management or scheduling systems.
- Strong process discipline, including compliance tracking, document control and deadline management.
- High level of discretion when handling sensitive information.
- Availability and willingness to support occasional after-hours requirements.
- Robust stakeholder management and coordination skills across multiple business functions.
- Excellent verbal and written communication skills.
- Strong attention to detail, organisation and time management skills.
- Ability to multitask, prioritise competing demands and meet deadlines.
- Flexible and responsive approach to work, with willingness to support occasional after-hours operational requirements.
- Ability to adapt to changing priorities and work effectively in a dynamic operational environment.
Preferred
- Confidence working with financial and operational information, including budgets, costs and resource utilisation.
- Working knowledge of HR processes, policies and employment obligations.
- Experience in a high-tempo operational environment.
- Familiarity with compliance, licensing or assurance frameworks.
- Advanced Microsoft Office and Excel skills.
While the role is primarily office-based, it supports a business that operates beyond standard business hours. As such, the successful candidate will be comfortable working with a degree of flexibility and occasionally assisting with time-sensitive operational matters outside a traditional 9-5 schedule.
