Brisbane CBD | Full Time | $90,000–$120,000 + Super
We're open to a range of experience levels and will offer a salary within this range based on your skills, experience and demonstrated capability.
Your family probably describe you as “Type A”.
Y'ou're the friend who arranges the group outings and holidays (with an itinerary to go with it!).
Your work desk is clean and transparent, and everything has a place.
If you're reading this and nodding along, keep reading.
Whilst the title is Executive Assistant, we're much more interested in the person behind the CV.
Someone who seamlessly brings order to complexity, keeps projects and priorities moving, spots problems before they arise, and remains calm when priorities change and deadlines collide.
At Delve Innovation, our Executive Assistant is a trusted extension of the leadership team, helping ensure projects, priorities, deadlines and client commitments remain on track.
This role provides exposure to a highly specialised area of innovation and tax advisory, as well as business operations, project and workflow management, client engagement, board meeting preparation and coordination, recruitment, and people and HR support. It's an opportunity to gain experience across a diverse range of business functions while working closely alongside the firm's leadership team.
Working within a small, growing firm also means you'll have the chance to share ideas, influence processes and see the direct impact of your contributions.
If you're naturally organised, solutions-focused and enjoy making things happen, this could be the opportunity you've been looking for.
About Us
Delve Innovation is a Brisbane-based specialist advisory firm helping innovative Australian businesses navigate the Research & Development Tax Incentive, transfer pricing and broader innovation advisory services. We work with everyone from early-stage startups through to ASX-listed companies and pride ourselves on delivering high-quality advice in a collaborative, down-to-earth environment.
As our business continues to grow,
we're looking for an exceptional Executive Assistant to work directly alongside one of the Directors and support the day-to-day operations of the firm.
The Role
Working directly with the Director, your responsibilities will include:
- Driving project workflows, deadlines and key deliverables
- Maintaining visibility over client engagements, ensuring deadlines, actions and next steps are tracked and proactively managed
- Managing priority lists, action items and competing demands to help Directors remain focused on the highest-value activities
- Coordinating day-to-day business operations and administration
- Managing executive support functions including scheduling, correspondence and meeting coordination
- Preparing proposals, engagement documents, presentations and client communications
- Assisting with client onboarding and maintaining exceptional client service and communication standards
- Proactively identifying matters requiring Director attention and ensuring key deadlines, risks and priorities are not overlooked
- Supporting HR functions, recruitment activities and employee onboarding
- Assisting with invoicing, reporting and administrative processes
- Maintaining systems, records and internal procedures
- Identifying opportunities to improve efficiency and implementing practical solutions
- Supporting a variety of projects and business initiatives
Who We're Looking For
Whilst a background in professional services is advantageous, we're far more interested in mindset and capability than specific experience.
The ideal person will be:
- Adaptable and proactive
- Highly organised
- Comfortable with ambiguity
- Emotionally intelligent
- Resilient and resourceful
- Solutions-focused
- Comfortable managing competing priorities and working autonomously
- Calm under pressure
- Professional and confident
You may have experience as a Project Coordinator, Operations Coordinator, Practice Coordinator, Executive Assistant, Office Manager, Team Administrator or other professionals with proven experience managing competing priorities, coordinating workflows and supporting senior stakeholders.
Why Join Delve?
In addition to a competitive salary package, we offer:
- 9-Day Fortnight – enjoy a regular extra day off to recharge and refocus, equating to 26 additional days off per year.
- Health & Wellbeing Allowance – annual allowance to support your physical and mental wellbeing.
- Learning & Development Allowance – an annual allowance that can be used to improve and further develop a range of soft skills relevant to qualified services.
- Career Development Focus – annual performance and development discussions designed to support employee growth and progression.
- Meaningful Responsibility – work directly alongside the Directors and make a genuine impact on a growing business.
Our Approach
This role is 100% office-based and located in our Brisbane CBD office.
We place a high value on collaboration, mentoring and working closely together as a team. Given the nature of the role and the close interaction with our Directors, team and clients, we believe being in the office creates stronger relationships, better communication and a more rewarding experience for everyone.
Rather than offering flexibility through a hybrid working model, we provide it differently through our 9-Day Fortnight, giving our team the equivalent of 26 additional days off each year.
If you're looking for an opportunity to become a trusted part of a team, contribute beyond your job description and make a meaningful impact in a growing business, we'd love to hear from you.
Before you apply, take a moment to think about a time you identified a problem, took ownership and implemented a solution that improved a process, client experience or business outcome.
If a story immediately comes to mind, we'd love to hear about it as part of your application.
