The IT Systems & SharePoint Administrator is responsible for the reliability, security, and effective operation of the business IT infrastructure and corporate systems, with a strong focus on Microsoft 365 and SharePoint-based document and collaboration platforms.

The role will be responsible for the secure user access, effective vendor management, and compliance with regulatory and cyber security requirements, while supporting business operations through high-quality IT service delivery.

Within this role you will be required to :-

Systems administration

- Administer and maintain the Windows-based server, workstation, and network environment
- Manage the Microsoft 365 tenant, including:
- Exchange
- SharePoint, including Document Management System
- Microsoft Teams
- Windows Defender and Purview
- Administer Active Directory, Group Policies and file/print services
- Monitor system performance, availability, and capacity
- Ensure reliable, tested backup and recovery processes (cloud and/or local)
- Maintain accurate and current system documentation, diagrams, and procedures
- Be the contact person for interface with Managed Service Provider (MSP) to assist the IT Manager with ensuring all service provisions are in accordance with the MSP agreement and KPIs
- Assist the IT Manager with administrative support of IT services, including:
- IT budgeting and reporting
- Attendance and coordination of performance/KPI review meetings with MSP (e.g. fortnightly interface meeting and monthly contract meeting)
- Regular (minimum monthly) IT system health and cyber security reporting of the business network
- IT project administration support
- Asset management and reporting
- Network documentation
- Ongoing maintenance of IT policy and procedures

Within this role you will be required to :-

Systems administration

- Administer and maintain the Windows-based server, workstation, and network environment
- Manage the Microsoft 365 tenant, including:

- Microsoft Teams
- Azure AD / Entra ID




- Windows Defender and Purview
- Integrations including Workflows, PowerBI, etc.

- Administer Active Directory, Group Policies and file/print services
- Monitor system performance, availability, and capacity
- Ensure reliable, tested backup and recovery processes (cloud and/or local)
- Maintain accurate and current system documentation, diagrams, and procedures

SharePoint and Document Management administration

- Administerthe business SharePoint platform and Document Management System
- Provision and manage SharePoint sites, libraries, workflows, and permissions
- Control user access and information security within SharePoint
- Troubleshoot SharePoint issues and support end users
- Perform data management activities, including archiving, retention, and storage optimisation
- Review usage and activity reports to improve performance and user experience
- Provide SharePoint training and guidance to staff
- Maintain currency with SharePoint and Microsoft 365 platform updates

Cyber Security & Compliance

- Support the IT Manager in maintaining the business's cyber security posture
- Administer and monitor security controls, including:

- Firewalls
- Endpoint protection
- Antivirus and application control

- Develop, maintain, and enforce IT policies and procedures
- Support compliance with regulatory and industry frameworks, including:

- DISP requirements
- ISM
- ACSC Essential Eight

- Assist with audits, security reporting,



and continuous improvement activities

AI & Microsoft Copilot Administration

- Administer and govern Microsoft Copilot and AI-enabled capabilities within the Microsoft 365, or other business elected environment
- Manage Copilot configuration, licensing, permissions, and access across Microsoft 365, SharePoint, Teams, and related services
- Ensure Copilot and AI features are used securely and in accordance with Business policies, information governance, and DISP requirements
- Monitor usage, adoption, and activity to support responsible and effective use of AI-enabled tools
- Implement and maintain information protection, DLP, and retention controls to support protected AI operation
- Provide guidance and support to staff on appropriate use of Copilot and AI-assisted functionality
- Maintain awareness of Microsoft Copilot updates and assess operational, security, and compliance impacts

Managed Service Provider (MSP) & Vendor Management

- Act as the primary operational interface with the MSP, AV provider and other Vendors
- Monitor MSP and other vendor performance against contractual obligations and KPIs
- Monitor helpdesk tickets, including ongoing review of persistent and ageing tickets, to ensure tickets are promptly resolved by the MSP/vendor and actions identified and implemented to prevent ongoing issues
- Verify MSP/vendor charges and manage access to business systems
- Coordinate IT activities that impact business-as-usual operations
- Escalate issues to the IT Manager as required
- Provide regular reporting to the IT Manager on MSP/vendor performance

User Support & Service Delivery

- Oversee delivery of Tier 1 helpdesk services via the MSP
- Provide direct support for priority or critical issues where required
- Ensure consistent, professional IT support to all staff
- Monitor incident resolution and user satisfaction

- Diploma or Bachelor's degree in Information Technology, Computer Science or a related field or equivalent experience
- Relevant certifications (e.g., Microsoft 365 Certified: Administrator, Microsoft Office Specialist: Microsoft 365 Apps, CompTIA Network+/Security+) are desirable
