We are looking for an organised, proactive and adaptable Executive & Project Assistant to support our executive team, assist with project requirements and help keep the day-to-day business running smoothly.
The opportunity
This is a varied role for someone who enjoys being involved across different areas of a business.
You will support our executives while also assisting with the administrative requirements behind client projects, internal priorities, meetings and office operations.
No two days will be exactly the same. One day you may be coordinating meetings and following up project actions. The next, you could be preparing a presentation, updating project information, assisting with a client requirement or helping the wider team solve an operational challenge.
We do not expect you to arrive knowing every system we use. We will provide training, but you must be open-minded, willing to learn and confident working with new technology and software.

What you will do
Your responsibilities will include:
- Providing administrative support to the executive team
- Coordinating executive priorities, appointments, meetings and schedules
- Assisting with the administrative requirements of client projects
- Setting up and maintaining accurate project information within our business management software
- Monitoring actions,
deadlines and outstanding requirements
- Preparing presentations, reports, spreadsheets and business documentation
- Coordinating meeting logistics, travel and accommodation when required
- Conducting research and collating information for executives and project teams
- Following up internal and external actions to help keep projects moving
- Maintaining databases, electronic files and document management systems
- Managing general correspondence and directing enquiries appropriately
- Assisting with client, supplier and team communications
- Supporting office supplies, catering and general office coordination
- Helping the wider team with administrative and project support as required
- Using technology and AI-assisted tools to streamline routine tasks and work more efficiently
What we are looking for
We are looking for someone who is organised, switched on and comfortable taking responsibility for their work.
You will bring:
- Previous experience in an Executive Assistant, Personal Assistant, project administration, office coordination or senior administration role
- Strong skills across Microsoft Outlook, Word, Excel, PowerPoint and Teams
- Confidence working with spreadsheets, presentations and business documentation
- A willingness to undertake training and learn our project and business management software
- The ability to manage multiple priorities while maintaining attention to detail
- Strong written and verbal communication skills
- A professional and confident approach when dealing with clients, executives and suppliers
- The ability to handle confidential information with discretion
- A proactive mindset and the confidence to follow up outstanding actions
- A positive attitude and willingness to help wherever needed
- An interest in using technology to reduce repetitive administration and improve how work gets done
- Experience within a creative agency, professional services or project-based environment would be highly regarded
