About Us
Parkes Veterinary Hospital is a trusted local practice providing quality veterinary care to companion animals, livestock and horses throughout Parkes and the surrounding Central West region. Our team is dedicated to compassionate care and building strong relationships with our clients and their animals. We're looking for a friendly, reliable Receptionist/Administrative assistant to join our team.
About the Role
As the first point of contact for our clients, you'll manage reception and administrative duties to keep the hospital running smoothly — from greeting clients and their animals, to scheduling appointments, processing payments, and supporting our practice manager with day-to-day admin. Full-time and part-time applicants are welcome to apply, with flexible days/hours negotiable for the right candidate.
Key Responsibilities
- Greet clients and their animals warmly, creating a calm and welcoming environment in a busy mixed-practice hospital
- Answer and manage a multi-line phone system, handling enquiries and booking appointments
- Maintain and update client and patient records using clinic management software
- Process payments, invoicing and end-of-day reconciliation
- Coordinate vet and nurse schedules, including consults, surgery bookings and farm/property visits
- Handle prescription requests and referrals
- Manage incoming mail and courier deliveries
- Support clients through sensitive interactions, including bereavement and end-of-life appointments, with empathy and professionalism
- Maintain a clean, organised and well-presented reception and waiting area
- Assist with general administrative duties as required, including data entry and filing
About You
- Previous experience in reception, customer service or administration (veterinary or medical setting highly regarded but not essential)
- A genuine love of animals and comfort working around pets and livestock, including anxious or unwell animals
- Excellent communication skills and a calm and empathetic manner
- Strong organisational skills and the ability to multitask in a fast-paced environment
- Ability to remain composed under pressure, including during emergencies and busy periods
- A team player with a positive, can-do attitude, comfortable in a small-town/regional practice setting
