We are searching for a dedicated and experienced Freight & Logistics Coordinator to join our amazing team at the Strathfield South Warehouse.

The Freight & Logistics Coordinator is responsible for coordinating international freight operations from overseas suppliers to warehouse receipt, ensuring timely shipments, customs clearance and accurate import documentation. Working closely with suppliers, freight forwarders, customs brokers and internal stakeholders, the role supports commercial priorities, maintains service performance and identifies opportunities to improve logistics efficiency and freight costs. Reporting to the Compliance Manager, the role works collaboratively across Buying, Merchandising, Marketing, Warehouse, QA and Compliance teams to support seasonal launches and day-to-day supply chain operations.

This role will be Monday to Friday and based at our new Strathfield South location with potential requirement to our Head Office in Pyrmont.

Key Responsibilities

International Freight Management

- Coordinate international shipments from suppliers, freight forwarders and customs brokers, ensuring timely shipment execution and customs clearance.
- Coordinate supplier shipment readiness to support agreed production, launch and delivery timelines.
- Assess and recommend appropriate sea, air and courier freight solutions based on business priorities, service requirements and freight costs, with significant commercial decisions subject to Management approval.
- Monitor shipment milestones, proactively manage freight exceptions and coordinate timely resolution from origin through to warehouse receipt.
- Coordinate warehouse receiving arrangements for priority, urgent and after-hours deliveries to minimise delays,



storage costs and operational disruption.
- Develop and maintain effective working relationships with freight forwarders, customs brokers, carriers and other logistics service providers.
- Monitor supplier performance against agreed service levels and KPIs, identifying issues and recommending improvement opportunities to Management.
- Conduct regular benchmarking of freight rates, transit times and service performance to support commercial decision-making.
- Support the implementation and optimisation of Warehouse Management System (WMS) processes.
- Coordinate inbound freight activities across logistics providers, warehouse operations and internal stakeholders.
- Maintain accurate logistics documentation, including commercial invoices, packing lists, certificates of origin and shipping records.
- Coordinate with suppliers, customs brokers and the Compliance team to ensure import documentation is complete, accurate and submitted on time.
- Verify shipping documentation complies with agreed Incoterms® 2020, purchase order requirements and import requirements.
- Escalate customs, permit, HS classification, valuation and biosecurity-related matters to the Compliance team where required.
- Support customs clearance through timely and accurate documentation.

Cross-Functional Collaboration & Inventory Flow

- Coordinate inbound shipments with Merchandising, Marketing, Warehouse, QA and Compliance teams in line with approved business priorities.
- Coordinate shipment schedules to support seasonal launches, promotional activities and inventory availability while balancing warehouse capacity and freight efficiency.
- Monitor shipment status and communicate delays, risks and operational impacts to relevant stakeholders,



providing alternative solutions where appropriate.
- Coordinate freight-related non-conformances with QA, Compliance, suppliers and logistics providers to support corrective actions and continuous improvement.
- Work collaboratively with internal departments to support continuous improvements in inventory flow, inbound operations and overall supply chain performance.
- Monitor freight expenses, analyse cost drivers and prepare regular logistics performance reports with recommendations for Management.
- Identify opportunities for freight consolidation, transport mode optimisation and operational cost savings.
- Develop and maintain logistics SOPs, documentation standards and operational processes to improve efficiency and consistency.
- Support approved logistics improvement, automation and system enhancement initiatives.
- Monitor implementation outcomes and recommend further operational improvements.

Qualifications & Experience

- Minimum 5 years’ experience in international freight, logistics or import/export operations.
- Experience within beauty, cosmetics, FMCG, pharmaceutical or other import-driven retail industries.
- Strong knowledge of Australian customs clearance, ABF, DAFF and import documentation requirements.
- Working knowledge of Incoterms® 2020, HS classification and international freight processes.
- Experience using freight management systems, WMS or other logistics platforms.
- Strong analytical, communication and stakeholder management skills.
- Experience in freight cost analysis, supplier coordination and logistics process improvement.
- Korean language skills (spoken and written) are highly desirable to support communication with Korean suppliers and logistics partners.
