Patient Care & Clinic Operations Coordinator – Medicinal Cannabis
About Karuna Health
Karuna Health is a growing telehealth clinic specialising in medicinal cannabis, plant-based medicine and alternative treatment options.
We take a warm, holistic and patient-centred approach to healthcare, with a focus on compassion, autonomy and non-judgemental support.
Our clinic exists to help people access treatment in a way that feels respectful, informed and human. We support patients who are often exploring alternative healthcare pathways and want a clinic experience that feels safe, considered and supportive.
About the Role
We are looking for a professional, proactive and highly organised person to join Karuna Health in a role spanning patient care, clinic administration and day-to-day operations.
This is more than a standard administration role. We are looking for someone who wants to take ownership, grow with the business and become an important part of the clinic as we continue to expand.
You will support patients, doctors, pharmacies and the Managing Director to help keep the clinic running smoothly. The role will begin with patient administration and clinic support, but for the right person, there is genuine potential to grow into a key operations or 2IC-style position over time.
This opportunity would suit someone who is self-directed, calm under pressure, confident with technology and excited by the idea of helping build structure within a small but ambitious healthcare business.
A Role with Room to Grow, Contribute and Think Differently
Karuna Health is still growing, which means this role offers the right person an opportunity to genuinely make their mark.
We are looking for someone who takes pride in their work, thinks beyond the immediate task list and is genuinely interested in improving how the clinic operates.
There is room to be innovative, suggest improvements, help shape processes, contribute to the patient experience and become a valued team member as the clinic grows.
For the right person, there may also be opportunities to become involved beyond day-to-day clinic administration, including pharmacy relationships, business development, community outreach, events and other areas of growth.
We take our work seriously, but we are not a stiff or traditional clinic. We value initiative, warmth, personality,
original thinking and people who are comfortable working a little outside the box.
Key Responsibilities
- Supporting patients with bookings, enquiries, follow-ups, forms and general clinic communication
- Managing patient records and helping maintain smooth clinic workflows
- Supporting doctors with appointment scheduling, patient information and administrative follow-up
- Communicating with pharmacies and external partners when required
- Managing inbound calls, emails, patient questions and day-to-day clinic tasks
- Using digital systems confidently to keep information accurate and up to date
- Identifying opportunities to improve processes, patient experience and clinic operations
- Supporting the Managing Director as the clinic grows and expands into new opportunities
Who We Are Looking For
We are looking for someone who is:
- Professional, warm and confident when communicating with patients
- Highly organised, reliable and accountable
- Proactive, self-directed and comfortable taking ownership
- Ambitious, curious and excited by growth
- An original thinker who brings ideas and solutions
- Tech-savvy and confident learning new digital systems
- Calm, grounded and able to manage competing priorities
- A clear written and verbal communicator
- Open-minded, non-judgemental and aligned with holistic healthcare
- Interested in alternative medicine, plant-based medicine and patient advocacy
- Comfortable working independently without needing to be micromanaged
This role is best suited to someone who wants to be part of building something and is looking for more than a short-term side job. Although the position will begin on a casual basis, there is real potential for the right person to build a long-term career pathway within the clinic.
Highly Regarded
Experience or professional interest in any of the following would be highly regarded:
- Medicinal cannabis or plant-based medicine
- Alternative, integrative or holistic healthcare
- Mental health, chronic pain, sleep, trauma-informed care or patient support
- Medical administration, clinic coordination or healthcare operations
- Pharmacy, nursing, allied health or telehealth
- Start-ups, small business operations or fast-growing teams
Experience, professional knowledge or a genuine interest in medicinal cannabis, alternative healthcare, wellness or patient advocacy would be a significant advantage.
Working Hours & Location
This is a casual role commencing at approximately three days per week, ideally Tuesday, Wednesday and Thursday. Applicants should have reliable availability across these days.
The role has the potential to increase in hours as the clinic grows, and additional hours may occasionally be available to provide leave or operational coverage. For the right candidate, there is a genuine opportunity for the position to develop into permanent part-time or full-time employment over time.
This is a Brisbane-based hybrid role. Most day-to-day work can be completed remotely, with access to a qualified co-working space in Bowen Hills for initial training, collaboration and focused clinic work when required.
We are looking for someone who is confident and productive working independently from home while also being available to attend the Bowen Hills workspace when arranged.
What Karuna Health Will Give You
- $38–$40 per hour casual, inclusive of casual loading, plus superannuation
- Approximately three days per week, ideally Tuesday to Thursday
- Primarily remote work with in-person training and collaboration in Bowen Hills
- Potential for additional hours as the clinic grows
- Genuine opportunity to progress into permanent part-time or full-time employment
- Potential pathway into a key clinic operations or 2IC-style role
- A meaningful position in the emerging medicinal cannabis industry
- The opportunity to help shape a growing clinic and improve the patient experience
- Room to bring ideas, improve processes and contribute to building the business
- Opportunities to become involved in broader growth areas for the right person
- A workplace that values individuality, warmth, initiative and open-mindedness
