Office & Guest Operations Coordinator
About Krinklewood
Krinklewood Estate is one of Australia’s leading organic and biodynamic wine estates, home to award-winning wines, luxury accommodation and a Mediterranean restaurant, weddings, premium events, a growing Wine Club and a new luxury Bathhouse opening soon.
We are seeking a highly organised Office & Guest Operations Coordinator to manage our in office office, respond to all incoming communications and ensure operational checklists are completed across the estate, with a particular focus on maintaining five-star accommodation and guest experiences.
About the Role
You will be the central point of contact for incoming enquiries and day-to-day guest operations across Krinklewood Estate.
This is an on-site office management and operations role. You will spend part of your day managing communications, bookings and administrative tasks, and the remainder ensuring checklists are completed, accommodation is guest-ready and estate-wide presentation and service standards are consistently maintained.
Working closely with the Owners, General Managers, Housekeeping, Maintenance and Head of Growth, you will help ensure every guest journey—from initial enquiry to departure—is seamless, responsive and memorable.
Your primary responsibilities will be:
- Managing all incoming communications
- Coordinating accommodation and guest operations
- Implementing and fulfilling operational checklists
- Inspecting accommodation and guest areas
- Supporting consistently exceptional, five-star experiences
Key Responsibilities
Office Management and Communications
- Manage the on-site office from Thursday to Monday
- Respond promptly and professionally to all incoming phone calls, emails, website enquiries, Guesty messages and social media communications
- Resolve enquiries directly or efficiently direct them to the appropriate team member
- Maintain accurate booking, guest and operational records
- Ensure no guest enquiry, request or follow-up is missed
Accommodation and Guest Operations
- Coordinate accommodation arrivals, departures and guest requests
- Welcome guests and manage check-ins and check-outs
- Ensure accommodation is fully prepared, presented and inspected before every arrival
- Liaise with housekeeping and maintenance to resolve issues promptly
- Monitor guest stays and proactively assist with requests
- Manage Bathhouse enquiries and bookings as the new experience launches
Checklists and Quality Control
- Implement, manage and fulfil daily operational checklists across accommodation, Cellar Door, events and shared guest areas
- Conduct regular inspections of accommodation and guest-facing spaces
- Ensure all tasks are completed, recorded and followed up
- Identify presentation, maintenance or service issues before they affect guests
- Help improve operational systems, procedures and checklists
Five-Star Guest Experience
- Deliver warm, personalised and highly attentive service
- Build genuine relationships with guests and anticipate their needs
- Maintain exceptional presentation and service standards throughout the estate
- Respond to guest feedback and manage service recovery professionally and promptly
- Help create memorable experiences that encourage positive reviews and repeat visits
Cellar Door and Events
- Support Cellar Door operations during peak periods when required
- Assist with premium tastings,
wine sales and membership sign-ups
- Support guest coordination for weddings and estate events
About You
- Are exceptionally organised, responsive and process-driven
- Enjoy managing an office while remaining actively involved in on-site operations
- Take ownership of communications and ensure nothing falls through the cracks
- Have strong written and verbal communication skills
- Notice small details and take pride in exceptional presentation
- Are proactive and comfortable following through on checklists and outstanding tasks
- Remain calm and solutions-focused in a busy hospitality environment
- Enjoy creating genuine, memorable guest experiences
- Have experience in luxury accommodation, hospitality, tourism, office management or operations
Essential Requirements
- Current RSA
- Food Safety Handler Certificate
- Current Driver’s Licence
- Australian working rights
- Availability to work Thursday to Monday, including weekends
