Practice Manager (Maternity Leave Contract Role)

Contract: September 2026 – 30 June 2027
Hours: 30-38 hours per week (negotiable)

Toowong Specialist Clinic is a busy and well-established private specialist medical practice dedicated to providing exceptional patient care. We are seeking an experienced and proactive Practice Manager to join our team on a maternity leave contract.

This role will be primarily focused on maintaining established policies, managing and leading the administration team and guiding our registrars and specialists whilst our Practice Manager is away on her maternity leave.

About the Role

As Practice Manager, you will be responsible for ensuring the smooth operation of the clinic while leading and supporting our administration team. You will be the key point of contact for operational matters and will play an important role in maintaining high standards of patient care, compliance, and staff performance.

Key Responsibilities

Oversee the daily operations of the practice

Lead, mentor and support the administration team

Excellent organisational and time management skills, problem-solving and analytical skills, prioritisation abilities, and high attention to detail

Manage staff rostering, recruitment and onboarding along with our Team Leader

Conduct performance reviews and provide ongoing staff training in conjunction with our Team Leader

Ensure compliance with relevant healthcare legislation, privacy requirements and accreditation standards

Oversee appointment workflows, billing processes and operational efficiencies





Liaise with specialists, registrars and external stakeholders

Manage supplier relationships and general practice administration

Coordinate HR administration, policies and procedures

Assist with payroll processing and financial administration (desirable but not essential)

Support bookkeeping functions where required (desirable but not essential)

Monitor budgets, invoices and operational expenses

Identify opportunities to improve systems and clinic processes

Handle escalated patient enquiries professionally and efficiently

About You

You are an organised and confident leader who thrives in a fast-paced healthcare environment. This role is also suitable for a confident senior medical receptionist/2IC/Team Leader who is now ready to take the next step!

Ideally, you will have:

Previous experience as a Practice Manager, senior medical administrator/2IC/Team Leader

Strong leadership and people management skills

Excellent organisational and time management abilities

Outstanding written and verbal communication skills

Experience with medical practice software (Genie experience highly regarded)

Knowledge of Medicare billing and private practice operations

Payroll and Bookkeeping experience is advantageous but not essential

Strong problem-solving skills and attention to detail

A positive, professional and cooperative approach
