We are looking for a Customer Care Representative to join our growing team and become the first point of contact for our clients, prospective clients and stakeholders.

About the role

As our Customer Care Representative, you will play an important role in ensuring every client interaction is professional, timely and supportive.

You will be responsible for managing incoming enquiries, supporting clients through key administrative steps, assisting our conveyancing team, and proactively following up opportunities to help grow our business.

This is a varied role suited to someone who enjoys working with people, solving problems, staying organised and taking ownership of delivering an excellent client experience.

Key responsibilities include:

- Being the first point of contact for clients and stakeholders by phone, email and in person.
- Providing friendly and professional customer service throughout the client journey.
- Assisting clients with general conveyancing process enquiries and administrative requirements.
- Identifying when enquiries require conveyancer assistance and ensuring they are escalated appropriately.
- Supporting client onboarding, including document collection,



verification processes and form completion.
- Managing follow-up activities for prospective clients and supporting conversion opportunities.
- Following up Colwell Compliance clients and identifying opportunities to assist with their conveyancing needs.
- Maintaining accurate client records, communication notes, and workflows within our systems.
- Monitoring the info@ email inbox and ensuring enquiries are actioned promptly.
- Supporting reporting, administration and general office operations.

About you

You are someone who:

- Enjoys speaking with people and building positive relationships.
- Has excellent communication skills and a professional phone manner.
- Is organised, reliable and takes ownership of completing tasks.
- Can confidently follow processes while knowing when to ask questions or elevate issues.
- Has strong attention to detail and takes pride in accurate work.
- Enjoys a varied role where no two days are exactly the same.
- Is comfortable using technology and learning new systems.
- Has confidence making outbound calls and following up opportunities.

Previous experience in customer service, administration, real estate, legal services or conveyancing would be highly regarded, however full training will be provided for the right person.
