Tonon Plumbing & Gas is a fast-growing, family-owned business operating across maintenance, construction, mechanical and civil plumbing and gas services throughout Cairns and surrounding areas. As the company has scaled from a single operator to three distinct divisions, the administrative backbone of the business has been carried informally by the Director and the divisional Operations Managers, alongside their own workloads.

We are now looking to appoint an experienced Office & Admin Manager to take full ownership of that function. This is not an entry-level reception role. We are looking for someone who has genuinely managed an office before, ideally within plumbing, gas, construction, mechanical services or a related trade/field-services environment, and who can walk in, make sense of a business with several moving parts, and build the systems, processes and documentation that let it run smoothly without everything routing through the Director.

You will be the first point of contact for customers, suppliers and the field team, and the central hub that keeps enquiries, jobs, compliance paperwork and cash flow moving in the right direction across all four divisions. Over time, this role is expected to grow into leading a small admin/accounts support team as the business continues to scale.

What You’ll Be Doing

- Act as the first point of contact for phone and email enquiries, and triage them accurately to the correct division: maintenance, construction, mechanical or civil
- Gather complete, accurate customer, site and job information and raise new jobs correctly in the job management system
- Identify urgent matters and elevate directly to the relevant Operations Manager or Director without delay
- Create purchase orders, prepare and lodge council forms,



compliance documentation (including Form 4s) and other regulatory paperwork
- Coordinate travel and logistics bookings for Directors and field staff (flights, accommodation etc.)
- Manage shared inboxes and correspondence for body corporate and other recurring client accounts
- Maintain accurate, well-organised customer, job and financial records
- Act as a quality-assurance checkpoint on job and compliance paperwork moving through the business, flagging gaps before they become problems
- Build and maintain a documented library of office procedures (written guides, screen recordings, screenshots) so the role, and any future admin hires, can be trained quickly and consistently
- Provide day-to-day executive support to the Director, including diary and correspondence management
- Support and, as the team grows, help train and oversee additional admin or accounts support staff

What we are looking for

- Proven experience in an office management, executive assistant, or senior administration role, with experience gained within plumbing, gas, construction, mechanical services or another trade/field-services business considered essential
- Working understanding of how a trade business operates: apprenticeships and licensing, compliance paperwork (e.g. Form 4s), council permits, and how job/field teams are structured
- Confident using job management, scheduling or trade-service software (e.g.



ServiceM8), or the ability to pick systems up quickly
- High-level organisational and time-management skills, with the ability to manage competing priorities across multiple divisions at once
- Excellent written and verbal communication skills and a calm, skilled phone manner
- Demonstrated ability to work autonomously, take ownership of a function, and manage upward, acting comfortably as the central point of contact for Directors and senior staff
- Experience creating clear process documentation or SOPs, or a genuine aptitude for building them from scratch
- Discretion and trustworthiness when handling financial information, accounts and sensitive business matters
- Leadership potential: capacity to train, delegate to and eventually oversee supporting admin staff

What we offer

- Full-time, permanent position, Monday to Friday
- Remuneration of $75,000 to $95,000 + superannuation, with flexibility above this for the right experienced candidate
- Four weeks paid annual leave, paid personal/carer's leave and public holiday entitlements
