Title: Administration Officer Reports to: Practice Manager Chief Executive Officer Hours: Monday - Friday as per roster Purpose Summary: o To provide high quality reception and secretarial services to the patients, doctors and staff at the surgery in a caring and supportive manner. o To maintain confidentiality of all information at all times. o To provide flexibility in practice staffing arrangements Key Responsibilities and Accountabilities
In accordance with policies & procedures: o Confidentiality in matters pertaining Bawrunga Medical Service o Answer the telephone in a courteous and professional manner o Receive and convey messages in writing, verbally and electronically o Liaise with patients and their families in a compassionate manner o Liaise with GPs, other health professionals and their staff o Monitor appointment book including online bookings o Bill patients and receipt moneys o Operation of TYRO EFTOS machine o Fax, scan and file documents o Managing of incoming and outgoing mail o Complete Word processing, Data Base and other administrative tasks with a high level of accuracy o Clean consulting rooms in between sessions o Cleanliness/organisation of counter and surrounds o Maintain infection control procedures according to RACGP Standards o Patients recalls – and editing o Attend work meetings when required o Attend work related educational & training sessions when required o Monitor stationery /admin supply levels and place orders (every 2 months) as required, to maintain a working supply at all times.
o Participate in ongoing career development training and activities o Contribute equitably to maintaining the cleanliness of the practice o Maintain practice dress standards o Any other administrative duties as directed by the Chief Executive Officer or Practice Manager o Support the aims and objectives of Bawrunga Medical Service Essential Qualifications, Education, and/or Experience Essential Criteria o Provide high levels of professionalism at all times o Professional presentation and demeanour o Disciplined approach to process (time management) and attention to detail across your role.
o An ability to communicate with people at all levels o Flexibility and initiative o Ability to work as part of a dedicated team o Computer literacy including advanced knowledge of; Microsoft Word and Excel software o Ability to work independently and unsupervised with a 'can do' attitude o Excellent interpersonal skills o Proficient in use of keyboard Desirable Qualifications Education and/or Experience o Previous experience in a general practice environment o Proficiency in Windows operating system o Knowledge of Best Practice o Understanding of medical terminology Certificates, Licenses, Registrations, Memberships o Current Class C driver's license o Current CPR Certificate SCHEDULE OF DUTIES
- Record accurate message details when staff are not available
- Prompt, courteous and efficient handing of telephone enquires
- Prompt courteous and efficient handling of customer service enquires
- Compiling of Medicare and entering onto Medical Data base
- Arrange appointment times.
- Arrange specialist appointments for patients when required
- To maintain and ensure front office is occupied at all times
- Attend staff meetings once a month or as required
- Attend further training – update skills.
- Assist other staff in ensuring Bawrunga Medical Service run efficiently and effectively.
- And any other duties as directed by the Doctors, CEO or Practice Manager.
If the Doctors' requests conflicts with directions from Management the Doctors need to be informed of any problems and the matter referred back to Management for resolution.
