About the role
We are looking for an experienced and organised Construction Coordinator / Administrator to support our residential projects right through from sales, construction & warranties
This is not a junior or entry-level role. It is a hands-on position for someone who has some understanding or familiarity with the residential building process and can confidently keep projects, people and information moving.
Reporting to the Operations & Estimating Manager, you will work closely with our sales, estimating , construction and administration staff. You will also communicate with clients, consultants, certifiers, councils, suppliers and subcontractors.
The role is varied and requires someone who can see what needs to happen next, identify missing information, follow up confidently and make sure matters are carried through to completion.
Key responsibilities
- Coordinating administrative requirements across preconstruction, active construction & warranty projects
- Tracking council/certifier approvals & stage/trade certificates
- Liaising with clients, certifiers, councils, consultants,
suppliers and subcontractors
- Assisting with planning, building approval and certification processes
- Preparing and issuing professional correspondence, forms and project documents
- Supporting the construction team with compliance documents, site information and project follow-ups
- Updating Buildertrend and other internal project management systems
- Assisting with client communications and helping ensure clients remain informed throughout their build
- Coordinating meetings, recording actions and following matters through to completion
- Providing broader office and administrative support as part of a small office team
About you
You will be someone who is calm, capable and organised. You take ownership of your work and do not need to be continually reminded to follow something up.
Ideally, you have:
- Previous experience in the residential construction a similar building‑industry role
- Some understanding of residential construction terminology and documentation or a willingness & passion to learn.
- Strong written and verbal communication skills
- Excellent attention to detail and document control
- The ability to manage competing priorities across multiple projects
- Confidence communicating with clients, consultants, trades and approval authorities
- A proactive approach - you notice gaps, ask questions and follow matters through
- Strong computer skills, including Outlook, Word and Excel
- Experience with BuilderTrend or any construction management software would be advantageous
- A reliable, professional and positive approach
- A willingness to contribute wherever required within a small team
Construction‑industry experience will be very highly regarded. Experience working for a residential builder, building designer, certifier, architect, developer, construction supplier or related business would all be relevant.
Candidates who have personally navigated the construction of their own home may also bring valuable practical and client‑side insight, particularly where that experience has given them a genuine understanding of plans, selections, approvals, variations and the overall building process.
Formal qualifications are welcome but are not essential. Relevant experience, initiative, communication skills and an understanding of construction are more significant to us.
