The Appointment
An opportunity is available for an experienced and proactive Office Administrator / Coordinator to provide hands-on support across office administration, facilities, employee onboarding, events and general business operations.
Initially, the position will work three days per week, approximately six hours per day. The successful candidate will be responsible for ensuring the office operates smoothly while providing a welcoming and professional first point of contact for visitors, employees, suppliers and service providers.
This is a varied position suited to someone who enjoys taking ownership, solving problems and supporting a busy professional office.
Key Responsibilities
Your responsibilities will include:
- Managing reception duties, incoming telephone enquiries, visitors, deliveries and couriers
- Coordinating meeting room bookings, visitor access and office inductions
- Managing office facilities, maintenance requests, building access, keys and security cards
- Liaising with cleaners, maintenance contractors, IT providers, suppliers and other external vendors
- Ordering stationery, office supplies, catering, consumables, branded merchandise, equipment and PPE
- Maintaining meeting rooms, kitchens, shared spaces, storage areas and general office presentation
- Monitoring shared administration inboxes and distributing or responding to enquiries
- Assisting with invoices, expense claims, purchase orders, supplier onboarding and accounts payable processes
- Maintaining office registers,
supplier records, contact lists, access registers and compliance documentation
- Supporting employee onboarding and offboarding, including workstation preparation, office access and introductory communications
- Coordinating internal meetings, training sessions, team events and employee engagement initiatives
- Preparing internal communications, notices, event invitations and basic marketing materials
- Assisting with LinkedIn content, office signage, photography and event communications
- Supporting workplace health, safety and quality activities, including first aid supplies, emergency contacts, safety notices and local training
- Providing general administrative support, document formatting, meeting coordination and office troubleshooting
About You
To be successful in this position, you will ideally have:
- Previous experience in office administration, office coordination, facilities, reception or business support
- Strong organisational skills and the ability to manage a broad range of competing priorities
- A proactive approach and willingness to take ownership of office-related tasks
- Excellent written and verbal communication skills
- Confidence communicating with employees, visitors, suppliers and senior stakeholders
- Strong attention to detail and experience maintaining accurate records and registers
- Experience coordinating meetings, catering, events or employee activities
- Confidence using Microsoft Office, SharePoint and online business systems
- The ability to troubleshoot day-to-day office issues and identify practical solutions
- A friendly, professional and service-oriented approach
