About the Role
As a Medical Secretary, you’ll play a pivotal role in coordinating complex specialist schedules and patient pathways, ensuring the seamless operation of our clinics. You will act as a key liaison between Cardiologists, patients, hospitals and referrers, delivering a highly professional and efficient service in a fast-paced clinical environment.
Key Responsibilities
- Proactively manage and optimise complex specialist diaries,
balancing competing clinical priorities and procedural scheduling
- Coordinate complex appointment types, diagnostic testing and procedures, ensuring accuracy, urgency management and optimal patient flow
- Manage high-volume and often complex enquiries, exercising judgement, prioritisation and professionalism
- Welcome and arrive patients with a warm, calm and patient-centric approach
- Accurately process billing, invoicing, Medicare and health fund claims
- Maintain accurate and confidential patient records, ensuring data integrity and compliance
- Manage incoming correspondence, referrals and test results
- Facilitate effective communication between patients, Cardiologists and the wider healthcare community
- Support clinic operations by preparing consulting rooms and proactively addressing time-sensitive issues
- Take ownership of problem-solving and escalation management, ensuring time-sensitive issues are resolved efficiently
What You’ll Bring
Specialist Experience & Capability
- Demonstrated experience as a Medical Secretary within a specialist or hospital-based environment
- Proven ability to manage complex clinician workflows, competing priorities and high patient volumes
- Strong understanding of specialist billing, Medicare requirements and healthcare systems
- Experience supporting multiple stakeholders across private practice, hospital and referrer networks
- Cardiology or other specialist discipline experience strongly preferred
- Highly collaborative team player with a positive, can-do attitude
- Ability to work independently and exercise sound judgement in a fast-paced environment
- Confidence in anticipating clinician and clinic needs, rather than reacting
- Exceptional organisational and time management skills, with strong attention to detail
- Ability to multitask and adapt in a quick-paced, ever-changing clinical environment
- Excellent communication and interpersonal skills, with a strong patient-first mindset
- Qualified, discreet and trustworthy when handling sensitive patient information
- Flexible and adaptable, with the ability to work across different clinic locations
