Stage Door Coordinator - Part Time (25 hours per week)
Evening and weekend work may form part of the ordinary hours of this role and are rostered subject to business needs.
12-month contract at $54,778.29 per annum pro rata plus superannuation
Position Overview
The Stage Door Coordinator supports the daily operations, presentation, and functionality of Sutherland Pavilion. Working with the Operations Manager and Technical Manager, this position coordinates stage door, rostering and cleaning services, maintenance activities, contractor access, and venue presentation to ensure the venue remains safe, efficient, and professionally presented. As the primary contact for Stage Door, the role oversees access for hirers, artists, contractors, suppliers, and visitors, while supporting effective communication and the smooth delivery of events and day-to-day venue operations.
Key Responsibilities
Coordinate daily Stage Door and Loading Dock activities in collaboration with Operations and Technical teams (including casual Stage Managers), ensuring safe and effective access for artists, crews, contractors, hirers, suppliers, and visitors.
Manage sign-in, sign-out, accreditation, and access procedures for hirers, contractors, visitors, and event personnel, ensuring Stage Door is a welcoming entry point to the venue.
Monitor backstage, operational, and restricted-access areas to ensure compliance with venue policies, procedures, and safety requirements.
Participate in the Stage Door Event Roster as scheduled by the Operations Manager.
Provide clear communication and coordination between venue teams, hirers, contractors, and event personnel.
Venue Operations and Facilities Coordination:
Coordinate cleaning schedules for Sutherland Pavilion and Sutherland Arts Theatre and service delivery to ensure the venue remains presentation ready.
Support the planning and coordination of maintenance works, contractor attendance, building services, and facility-related activities in collaboration with the Technical and Operations Managers.
Monitor, maintain, and follow up maintenance requests and work orders, ensuring issues are reported and resolved promptly.
Manage ordering, stock control, and replenishment of operational supplies, consumables, cleaning products, and stationery.
Identify opportunities to improve venue presentation, operational efficiency and stage door functionality.
Provide practical operational support across venue areas as required.
Administration and Systems:
Maintain accurate operational and event data within venue systems in liaison with Operations and Event Delivery staff.
Coordinate contractor and supplier bookings for cleaning, maintenance, and operational support.
Maintain organised digital filing and operational records.
Support updates to venue procedures, policies, and documentation.
Prepare operational reports, meeting notes, and administrative documentation as required.
Solid organisational and administrative skills with the ability to manage multiple priorities and deadlines.
Excellent attention to detail and ability to maintain accurate records, schedules, and operational documentation.
Strong interpersonal and communication skills with the ability to build professional relationships with staff, hirers, contractors, artists, and visitors.
Ability to work independently while contributing effectively as part of a collaborative team.
Sound computer literacy and experience using administrative and operational systems.
Qualifications/Certifications:
A Working with Children Check for paid employment
Tertiary qualifications in Marketing, Communications, Arts Management, or a related field (or equivalent industry experience)
