We're looking for an organized, detail-oriented Admin Officer/ Accounts Assistant to join our accounts team. This is a varied front-of-house and back-office role suited to someone who enjoys juggling customer-facing duties with accounts, stock, and administrative processing across our multi-state operations.
You’ll work closely with our accounts team and branch staff around the country, gaining broad exposure to purchasing, stock, payroll support, and reporting processes. Previous experience with Xero and working within an ERP/inventory system is highly regarded. This role would suit someone with a background in accounts administration, logistics coordination, or office administration who is comfortable managing multiple priorities.
Key Responsibilities
Reception & Front Office
- First point of contact for phone, email, and walk-in enquiries
- Forward online enquiries and emailed orders to the appropriate branch
- Check and action mailbox correspondence
Accounts & Invoice Processing
- Enter suppliers bills and overseas purchase invoices into Xero
- Reconcile bank transactions and enter purchase orders and rebates from stores
- File receipts and supporting documentation/ ad-hoc duties as required
- Send invoices and credit notes to customers
- Prepare receivables/sales reports for management on request
Office Coordination
- Arrange office supplies as requested by other staff
- Monitor and manage vehicle registrations and insurance renewals
- Coordinate scheduled inspections/building maintenance
- Organizing internal events for staff/ making travel arrangements
What We’re Looking For
- Prior experience in an accounts, administration, or reception role
- Experience with Xero (or similar accounting software) is beneficial
- Experience with ERP or inventory management systems is highly regarded
- Strong attention to detail and accuracy, particularly with invoice and stock reconciliation
- Excellent communication skills and a professional phone manner
- Highly organized, with the ability to manage competing daily, weekly, and monthly deadlines
- A proactive, can-do attitude and comfortable working as part of a small, cooperative team
- Multitasking abilities
