Rostering Coordinator (NDIS) - Full Time | Hybrid

Rostering & HR Coordinator (NDIS) – Full Time

Location: Port Macquarie, NSW (Hybrid - minimum 2 days per week in office)

Position: Full Time - 5 days per week

About the Role

We are looking for a Rostering & HR Coordinator who understands that great support starts before a shift is ever filled — it starts with bringing on the right people and then matching them to the right participants at the right time.

You will manage rosters across SIL, respite and community supports, ensuring stability, consistency and responsiveness across services. Alongside this, you will play a key role in our HR processes — reviewing candidates and assessing their suitability for specific clients and support environments. This is a fast-moving role where priorities can shift quickly, so you will need to stay organised, think ahead and communicate clearly.

This is a hybrid position based in Port Macquarie, with a minimum of 2 days per week in the office and the remainder worked from home. You will need to be highly responsive throughout the day, whether in the office or remote.

What You Will Be Doing

Rostering

- Build and maintain rosters across SIL, respite and community supports, including 24/7 house based rostering and shared support ratios (1:1, 2:1 and above)
- Fill shifts proactively, including short notice and urgent gaps
- Manage short notice cancellations in line with NDIS Pricing Arrangements and Price Limits
- Match staff to participants based on skills, preferences, compatibility and continuity of support, particularly for participants with complex needs
- Ensure rosters reflect approved service agreement hours, ratios and support types




- Account for sleepover shift requirements when rostering SIL supports
- Monitor staff availability and ensure rosters remain compliant
- Identify risks, gaps and patterns in rostering and take action early
- Maintain accurate records and ensure alignment with SCHADS Award and NDIS expectations

HR & Candidate Review

- Review candidate applications and profiles to assess suitability for support roles
- Determine whether candidates are a good fit for particular clients, considering skills, experience, personality and participant needs
- Support onboarding and compliance checks in line with NDIS and workforce requirements
- Work closely with HR and Operations on workforce planning, ensuring the right talent pipeline is in place to meet rostering needs
- Maintain accurate candidate and staff records in Employment Hero/Oppoyo

Communication

- Communicate daily with support staff (Behaviour Therapy Assistants), Team Captains and leadership
- Provide clear feedback and updates on candidate suitability and rostering status
- Systems You Will Use
- ShiftCare/Oppoyo for rostering coordination and daily operations
- Employment Hero/Oppoyo for candidate review, workforce information, compliance and availability

What we are looking for

SCHADS Award Knowledge

- Understanding of shift-based pay rates, including overtime, broken shifts and penalty rates for evenings, weekends and public holidays
- Awareness of minimum engagement periods and rest break requirements between shifts
- Knowledge of casual, part-time and full-time entitlements and how they affect rostering flexibility
- Ability to identify and avoid compliance risks such as excessive hours or incorrect classifications

NDIS Service Knowledge

- Understanding of different support types (SIL, respite, community access,



in-home support) and how staffing needs differ across each
- Awareness of support ratios (1:1, 2:1, shared supports) and how this affects staff allocation
- Understanding of NDIS Pricing Arrangements and Price Limits, particularly as they relate to short notice cancellations
- Understanding of participant-worker matching, including skills, experience, continuity of support and behavioural compatibility
- Familiarity with NDIS Worker Screening requirements and Code of Conduct obligations

General Skills

- Experience in rostering within NDIS or community services
- Experience reviewing candidates or assessing staff-client fit, ideally within disability, community services or a similar people-focused sector
- Strong working knowledge of ShiftCare/Oppoyo
- Experience with Employment Hero/Oppoyo or a similar system
- Ability to manage competing priorities without losing detail
- Clear and confident communication style
- Strong problem solving skills and ability to think ahead
- Sound judgement when assessing people and matching them to roles or clients
- Comfortable working independently and collaboratively in a hybrid setting
- Based in or able to commute to Port Macquarie at least 2 days per week
