About the Role
We have an exciting opportunity for a driven and capable individual to join our Sydney team as a Contract Administrator.
The role involves supporting the commercial and contractual management of JMDR’s rail, engineering, and infrastructure projects. The Contract Administrator will work closely with project managers, engineers, clients, subcontractors, and suppliers to ensure contractual obligations, project documentation, commercial matters, and key deliverables are effectively managed.
The position includes a broad range of responsibilities, including contract administration, preparation and management of contractual correspondence, assessment of variations and claims, progress payment reviews, maintenance of contract registers, subcontractor coordination, commercial reporting, and support with project close-out activities.
Key accountabilities will include:
Review contracts, scopes of work, technical specifications, schedules and commercial conditions.
Administer head contracts, subcontracts, purchase orders and consultancy agreements.
Prepare and manage contractual correspondence, notices, instructions and approvals.
Maintain registers for variations, claims, extensions of time, payment claims, RFIs, deliverables and key contractual dates.
Review and assess contractor and subcontractor progress claims.
Assist with the preparation,
assessment and negotiation of variations and contractual claims.
Monitor contractual obligations, milestones, deliverables and project performance.
Identify potential contractual, commercial, cost and schedule risks and recommend mitigation measures.
Support the preparation and assessment of extension-of-time and delay claims.
Liaise with project managers, engineers, clients, suppliers and subcontractors regarding contractual matters.
Assist with cost forecasting, budget tracking, cash-flow reporting and commercial reporting.
Maintain accurate project records and document-control systems.
Support dispute avoidance, issue resolution and commercial negotiations.
Prepare regular contract administration and commercial status reports.
Assist with project close-out, final accounts, defects, completion documentation and handover.
Knowledge / Experience Requirements:
Experience working with Transport for NSW, Sydney Trains, Queensland Rail, ARTC, Metro or major rail contractors.
Strong contract administration and commercial management skills.
Excellent written and verbal communication skills.
Strong negotiation, problem-solving, analytical abilities
Sound understanding of project controls, cost management and risk management.
Ability to prepare clear contractual correspondence, reports and manage contractual deadline
Experience using document-management, project-control or contract-management systems.
Sound knowledge of contract administration processes, including variations, claims, progress payment assessments, extensions of time, contractual notices, and contract close-out.
Understanding of Australian contract and procurement practices, including Australian Standard contracts such as AS 4000, AS 4902, AS 2124, or similar forms of contract.
Experience in subcontractor management, procurement, dispute resolution, final accounts, and commercial reporting.
Robust written communication, report-writing, negotiation, analytical, and contractual correspondence skills.
Ability to maintain accurate contract registers, project records, supporting documentation, and commercial reporting systems.
Understanding of design, construction, testing, commissioning, handover, and project completion processes.
Familiarity with rail safety, quality, environmental, assurance, and compliance requirements.
Experience using contract, document, and project management systems such as Aconex, TeamBinder, Procore, SAP, Oracle, or similar platforms.
Qualifications:
Tertiary qualification in Construction Management, Quantity Surveying, Engineering, Commercial Management, Business, Law, or a related discipline.
Demonstrated experience in contracts administration, commercial coordination, project administration, or a similar role within the rail, engineering, construction, or infrastructure sectors.
