Due to continued growth, we're on the lookout for a top talent Administrator – Assistant to work out of our Pitt Street, Sydney office on a 12-month fixed term contract. You'll support our Construction Business Unit by keeping projects moving — coordinating sub-contractors, managing purchase orders and documentation, and being the administrative backbone for our project teams.
About the Role:
Reporting to the Regional HVAC Construction Lead (NSW/VIC/ACT), you'll provide administrative support across the Construction Business Unit, including:
- Project & work coordination – registering new project and construction work in our ERP system (ARMS) and allocating work to sub-contractors and project teams.
- Purchase order administration – raising and managing purchase orders for sub-contractor labour, assets, components and parts; tracking PO status through to goods receipting and invoicing.
- Sub-contractor coordination – validating incoming sub-contractor paperwork and invoices, and updating work order status and resource times in ARMS.
- Documentation & reporting – producing construction documentation,
proposals, reports and presentations, and maintaining project management tools and reports.
- General office support – data management, claim summaries, filing, arranging travel and accommodation, and other ad hoc duties.
- Stakeholder liaison – working closely with the Regional HVAC Construction Lead and wider project teams across NSW, VIC and ACT.
Skills & Experience:
- Intermediate level capability with Microsoft Office
- Cert III in Business (Office Administration) (Desirable)
- Advanced training in MS Excel (Desirable)
- Previous general admin experience, ideally in construction, projects, or a similar coordination-heavy environment
- Comfortable working to deadlines and juggling multiple concurrent jobs/projects
- High level of attention to detail, particularly around documentation and purchase orders
- Good work ethic and ability to use initiative to achieve results
- Well-developed interpersonal skills, with the ability to build relationships with sub-contractors and internal project teams
