We are looking to engage an experienced Senior CA with a minimum 3-5 years + industry experience.

We are looking to secure the services of an experienced Senior CA with the responsibility to deliver class 2 residential and Mixed-use developments located in NSW. This is an exciting opportunity to be involved in a project end-to-end from Land Acquisition to Turnkey. The Senior Contracts Administrator will be building and maintaining strong relationships with the Client and stakeholders to strategically grow the business.
This role is a transitional role in which the Senior CA will perform and carryout various Project Management tasks as part of a growth opportunity leading into a Project Management role position, performance will be measured and monitored by way of KPI performance review report process.
As the Senior CA you will be responsible for managing the delivery of construction projects from inception to completion which will include:
Plan, manage and monitor detailed design and construction of projects, you will be involved in the preparation of project briefs, design, tender and contract documentation; management of contractors, consultants and authorities; administration of contracts, progress claims and
Variations; preparation and on-going management of project budgets, including cost analysis, cash flow maintenance and reporting; risk analysis, project finalization and handover; and general project administration from initiation to Final OC and Practical Completion.
3. Position Objectives:
Achieve Value in Program delivery by managing the pipeline of works strategically.
Deliver projects to meet time (programming and scheduling of activities), cost, quality, safety, and environmental expectations from initiation to handover.
Lead procurement process for all Consultant, Subcontractor and Head contractor negotiations, selection and management including engagement of subcontractors, negotiation prices
Administer contracts to a high standard, collaboratively, and in a timely manner.
High level ability to negotiate complex and sensitive contractual issues and claims
Managing complex authority negotiations throughout the lifecycle of the project
An excellent grounding in Consultant, Subcontractor and Head contractor management and reading detailed plans
Thorough understanding of construction law and contracts.

4. Position Accountabilities:
The role allows a degree of autonomy with a high level of responsibility reporting directly to the Lead Project Manager and Director. Your team support and assistance will ensure the successful delivery of the projects at hand and allow senior staff to successfully complete their role. Your involvement as a core team member is vitally important to ensure all Creative Vision team members junior or senior work well with all contractors, administration, all team members within the company, understanding the impact each places upon the other for a cohesive and profitable operation.
Key tasks to be carried out are:
Project Management Area Tasks Project Planning
Develop due diligence report to be provided to the Lead PM and the Director and Client;
Prepare the Project Initiation Documents such as the Initiation Brief, Principal’s Project Requirements, Project Management Plan, Quality Management Plan, Risk Register and Stakeholder Register
Construction Operations
Preparing planning and construction permit (road closure) and other relevant documents for submission to council for construction projects
Working in conjunction with the Head Contractor and Lead Project Manager to develop effective programs for all in office work
Support Head Contractor and Project Team in Authority Connection Application by consistently following up and coordinating with the Authorities, Construction Team and Project Team
Project Finances
In conjunction with Lead Project Manager, analyse various cost/construction options to determine most cost effective alternatives.
Monitoring all financial aspects of the contract to ensure projects run to budget including Issuing Purchase Orders, Early reporting of Trade Lettings/Variations, Approval of Contractor Invoices, batching supplier invoices and producing Progress Claims both draft and tax.
Developing and issue draft progress reports to Lead PM on monthly basis to enable acceptance prior to production of company tax invoices.
Review estimates to confirm margins/budgets.
Scheduling to ordering materials and quantity take offs
Cost control, monitoring and reporting in conjunction with Project Manager
Develop, monitor and facilitate monthly financial reports including cost to complete reports
Project Progress Reporting
Preparation of monthly reports for the Project Manager to provide accurate details of the project’s physical progress status reports, financial and OHandS status including, Cost to complete reports, Divisional, deliverables, Procurement and Safety reports
Project Procurement
Administering the initial phase of the project in a timely manner to ensure contractors are made aware of calls for “expressions of interest”, plans and specifications are provided,
and quotes are correlated.
Liaise with Project Manager to determine Vendor’s scope of works and the letting of consultancy agreements, sub contracts and Head Contractors
Compiling a tender analysis for each subcontractor on the project
Maintaining and update records of all correspondence related to contract activity.
Analyse quotations, negotiate with subcontractors, pursue extra quotes where necessary and write purchase orders
In conjunction with Project Manager, check tender drawings against contract
Contractor Administration
Subcontracting administration including:
Issuing Consultancy agreements, Head contracts and subcontracts
Administer, facilitate and manage all contracts and agreements in a PM or Superintendent role
Shop Drawing document control
Tracking and documenting job progress
Organise and submit delay notices and extensions of time
Issue of instructions
Constantly monitor and close out RFI’s and defects register
Project Communications
Maintain project contact list
Control contract documentation including; drawing issues and architect’s instructions
Track authorisations and correspondence
Prepare and disseminate information to appropriate employees regarding contract
Legal, Risk and Compliance
Ensure insurance are in place and compliant
Oversee the preparation and revision of contracts and its administration
Project Quality
Maintain an audit file for each contract which will include original contract, all correspondence, changes/deviations, amendments, clarifications, payment schedules
Administer Creative Vision’s Quality Management Policy and establish Project-specific Quality Management Plan
Project Closure
Closing out Occupation Certificate requirements, liaising with Contractors, PCA to satisfy compliance and obtain Service Approvals
Follow up on building license and copy conditions to architect and site manager
Procure trade packages and assess tender submissions status, facilitate contractor meetings
Monitor Defects Liability Period and issue Bank Guarantees accordingly
Handover the Maintenance Schedule to the Operator
Perform closing activities as needed
Facilitate lessons learned discussion
Closing out Procurement for all vendors and consultants
Evaluating performance of vendors
Compiling project handover documents to the Client

If the applicant is shortlisted, a 30 minute interview with Creative Vision via Teams will be the first screening.
Final Screening will be a 30 minute face-to-face meeting with Creative Vision
6. Selection Criteria
Essential Criteria:
Appropriate tertiary professional qualifications, at degree level, in a relevant field, such as Project Management, Civil/ Structural/Services Engineering, or equivalent relevant industry experience including Contract Administration (with demonstrated Project Management capabilities);
Extensive CA experience with a proven track record on projects valued 5 to 20m+;
You will be a highly-motivated team player with a minimum demonstrated evidence of at least 3-5 years' experience in all aspects of construction CA works;
A stable career history within the construction industry
Demonstrate to a high level the capacity to support and administer delivery of highly complex projects to expected time, cost, quality, safety and environmental targets;
Highly developed experience in managing strong relationships with consultants, Head Contractors, subcontractors, suppliers and groups of multi- disciplinary professionals in a complex environment;
