Job Description

Heath Motor Group Pty Ltd Heath Motor Group Pty Ltd is seeking an experienced and highly organised Office Manager to join our team in Katherine, NT. Heath Motor Group operates within the automotive industry and requires an Office Manager to oversee the efficient operation of its administrative functions and provide support across the dealership. The successful applicant will be responsible for coordinating office administration, maintaining internal systems and records, supporting management and employees, liaising with customers and suppliers, and ensuring that administrative processes are completed accurately and efficiently.

The position is full-time, 38 hours per week, with an annual salary of $75,000 to $85,000 plus superannuation, depending on skills and experience. Benefits Full-time, ongoing position Competitive salary based on skills and experience Stable role within an established automotive business Supportive and professional working environment Wide-ranging position with responsibility across office administration and operations Opportunity to contribute to the ongoing development of administrative systems and procedures Task & responsibilities Managing and coordinating the day-to-day administrative operations and resources of Heath Motor Group’s Katherine dealership Developing, implementing and reviewing office procedures, administrative systems and internal processes to support the efficient operation of the dealership and its sales, servicing and parts functions Establishing administrative priorities, service standards and work procedures for office and customer service functions Coordinating office services, facilities, equipment, supplies and administrative resources Overseeing customer, vehicle, employee, supplier and service records and ensuring all records are maintained accurately and securely Coordinating customer bookings,



vehicle service appointments, office schedules and internal communications Liaising with customers regarding bookings, vehicle servicing, repairs, documentation and general enquiries Liaising with automotive parts suppliers, service providers, insurers, contractors and other external parties Allocating administrative tasks, monitoring workflows and ensuring work is completed accurately and within required timeframes Preparing and reviewing correspondence, reports, quotations, invoices, spreadsheets and other business documentation Managing office accounts and monitoring invoices, purchase orders, supplier payments, customer payments and general administrative transactions Assisting management with budgeting, expenditure monitoring and the preparation of financial and administrative information Coordinating personnel activities, including recruitment, onboarding, employee records, training and performance monitoring Supervising, supporting and providing guidance to administrative employees Ensuring office, customer and vehicle records comply with business, regulatory, workplace health and safety and record-keeping requirements Monitoring administrative systems and implementing improvements to support efficient dealership and business operations Identifying and resolving administrative, customer service and operational issues as they arise Maintaining confidentiality and ensuring sensitive business, customer and employee information is handled appropriately Qualification & experience The successful applicant must have:



A relevant Diploma-level qualification or higher, or an equivalent qualification At least one year of relevant full-time work experience in the same or a similar role Demonstrated experience coordinating office administration and business support functions Strong organisational and time-management skills Experience maintaining records, preparing reports and managing administrative systems Competency in Microsoft Office and general business software Strong written and verbal communication skills Ability to prioritise competing responsibilities and meet deadlines High level of accuracy and attention to detail Ability to work independently and as part of a team Strong problem-solving and decision-making skills Professional and customer-focused approach Previous experience in an automotive dealership or similar customer-focused business environment will be highly regarded
