Property Shell is an Australian technology company providing CRM, sales and operational software to property developers, project marketers and real estate businesses. We are a growing, founder-led business with a team across Australia and the Philippines. As the company continues to expand, including into the US market, we are looking for an experienced and highly organised Finance Manager – Business Operations to strengthen the financial, operational and people-management structure of the business.
About the Role
This is a broad, hands-on role combining finance management, business operations, payroll, HR administration, compliance and internal accountability. Reporting directly to the Managing Director, you will take ownership of the company’s financial reporting, cash-flow planning, budgeting, payroll, receivables and operational systems. You will also help create greater structure across the business by improving internal processes, coordinating plans and priorities, establishing team KPIs and ensuring actions are followed through. The role is suited to an experienced finance professional who enjoys working in a small to medium-sized business, is comfortable operating without a large support team and is willing to complete both higher-level financial work and practical day-to-day tasks. This is not a purely strategic or review-based finance role. You will be expected to personally prepare forecasts, manage payroll, follow up overdue invoices, maintain records, resolve issues and keep the business organised. A key objective of the position is to help build a business that operates consistently and effectively and ready for scale.
Responsibilities
Financial Management and Reporting
- Maintain and improve the company’s rolling cash-flow forecast.
- Prepare annual budgets and regularly updated financial forecasts.
- Prepare monthly profit and loss reports, balance sheet, management accounts and performance vs actual budgets
- Build financial scenarios for new contracts, business initiatives and international expansion.
- Monitor expenditure, margins, cash flow and financial performance.
- Identify opportunities to improve profitability and cost control.
- Establish and maintain appropriate financial controls and approval processes.
- Ensure revenue and expenses are allocated accurately across companies, products, projects, departments and markets.
- Establish clear cost-allocation methodologies for Australian, US and related business activities.
- Support management with pricing, staffing and profitability analysis.
- Maintain reliable data and reporting for management decision-making.
Accounting and Transactional Finance
- Oversee and perform day-to-day accounting activities.
- Maintain the general ledger and ensure accounts are accurate and reconciled.
- Manage accounts payable and payment processes.
- Manage accounts receivable and invoicing processes.
- Actively follow up overdue invoices and improve debtor-management procedures.
- Maintain accurate supporting records and documentation.
Payroll and Employee Administration
- Process or oversee payroll accurately and on time.
- Manage superannuation, payroll-related obligations and employee deductions.
- Maintain employee payroll and leave records.
- Coordinate onboarding, offboarding and employment administration.
- Maintain employment agreements, position descriptions and personnel records.
- Coordinate remuneration reviews and payroll changes.
- Payroll planning,
remuneration structures and alignment with employee KPIs
Business Operations
- Take ownership of the company’s internal operating calendar and recurring obligations.
- Maintain visibility over key business plans, projects, actions and deadlines.
- Translate business priorities into practical actions, owners and due dates.
- Follow up agreed actions and ensure commitments are completed.
- Improve internal systems, processes, templates and documentation.
- Identify operational gaps and implement more consistent ways of working.
- Coordinate office requirements, suppliers, insurance renewals and general business administration.
- Maintain company registers, records, policies and internal documentation.
- Support decisions with commercial, operational and organisational priorities.
KPIs and Team Accountability
- Help establish clear and meaningful KPIs for each team and role.
- Coordinate recurring performance and accountability meetings.
- Monitor agreed actions, targets and deliverables.
- Follow up managers and employees where commitments are overdue.Help create consistent expectations and operating rhythms across the business.
- Support managers with performance-management processes.
- Promote a professional, diligent and accountable working environment.
- Escalate ongoing performance or delivery concerns to management.
Compliance and Company Administration
- Coordinate BAS, payroll tax, income tax and other statutory obligations.
- Maintain a calendar of financial, tax, ASIC and corporate compliance requirements.
- Manage routine company-secretarial administration and corporate records.
- Coordinate ASIC annual reviews, company registers and related documentation.
- Liaise with accountants and advisers regarding company and trust compliance.
- Help bring outstanding tax and compliance matters up to date.
- Coordinate the tax and accounting affairs of related family companies, trusts and individual entities.
- Ensure records are complete and available for external accountants and advisers.
- Support compliance for any future international operations, including the US, in conjunction with specialist advisers.
What Success Looks Like within the first 6 to 12 months:
- The business has a reliable rolling cash-flow forecast and annual budget.
- Monthly management reporting is accurate, timely and clearly understood.
- Revenue and expenses are properly allocated across business units, projects and markets.
- Australian and US financial activities can be reviewed separately and together.
- Payroll and employee administration are completed accurately and consistently.
- Overdue receivables are actively managed and debtor performance improves.Tax, ASIC and other compliance obligations are documented and completed on time.
- Historical company, trust and related-entity compliance matters are under control.
- Each major role has appropriate KPIs and regular reporting.
- Business priorities are tracked through clear actions, owners and deadlines.
- Team members are followed up consistently and held accountable for agreed commitments.
- Fewer financial,
operational and administrative matters require direct involvement from management.
About You
You are an experienced and commercially minded finance professional who enjoys creating order, structure and accountability within a growing business.
You are capable of building budgets, forecasts and management reporting, but you are equally willing to run payroll, investigate a reconciliation issue, follow up an overdue account or update a company record.
You are comfortable working directly in a small to medium sized business environment and are confident enough to challenge unclear, inefficient or inconsistent practices.
You do not require a large finance team beneath you and do not consider practical or transactional work beneath your level.
You are likely to have:
- Approximately 8 or more years of relevant finance, accounting or business-management experience.
- Strong experience in cash-flow forecasting, budgeting and financial modelling.
- Strong experience preparing management accounts and financial reports.
- Experience managing payroll, accounts receivable and general accounting processes.
- Experience improving financial controls, reporting and internal processes.
- A solid understanding of Australian tax, payroll and statutory obligations.
- Experience working with external accountants, tax advisers and auditors.
- Experience working in small to medium-sized business(es)
- Experience with MYOB, Xero or comparable accounting software.
- The ability to understand and improve cost-allocation methodologies.
- Experience implementing KPIs, scorecards or management reporting.Robust organisational and follow-up skills.
- Confidence communicating with employees, managers and external advisers.
- Excellent attention to detail and professional judgement.
- Strong written and verbal communication skills.
A CA or CPA qualification is highly regarded but not essential where the candidate has strong, relevant hands-on experience. Experience in technology, SaaS, professional services, property, real estate or another recurring-revenue business would be advantageous. Experience with trusts, related entities, family business structures or international expansion would also be valuable.
