About the Role
We are seeking a hands‑on, detail‑oriented Operations Specialist to establish our Australian operations, working closely with the local team and headquarters in Shenzhen, China.
In this role you will be responsible for the smooth running of warehouse and inventory operations, coordinating inbound and outbound logistics, and supporting broader operational planning to ensure products and materials move efficiently through the supply chain. You will also support general office administration, helping to keep the Australian office running smoothly on a day‑to‑day basis.
Finance & Invoicing
- Process and review supplier invoices and purchase orders, ensuring accuracy and matching against goods received and agreed pricing
- Prepare and issue customer invoices, and follow up on outstanding payments in coordination with the finance team
- Maintain accurate records of expenses, payments, and reconciliations, and support month‑end finance reporting as required
Logistics & Planning
- Plan and coordinate domestic and international shipments, including freight booking, documentation, and customs clearance support
- Liaise with freight forwarders, customs brokers, and transport providers, tracking shipments and resolving delays or discrepancies
- Support demand and supply planning, including forecasting, order processing, stock replenishment, and logistics documentation
Warehouse Coordination
- Oversee day‑to‑day warehouse operations, including receiving, storage, picking, packing, and dispatch of goods
- Directly manage communication with the third‑party warehouse for inventory records, conducting regular stock counts and reconciliations
- Coordinate with suppliers and logistics providers, monitoring stock levels and flagging shortages or discrepancies
Administration Support
- Support general office administration,
including supplies and correspondence
- Assist with organising meetings, travel arrangements, and basic events coordination (road shows, workshops, etc.)
- Provide general administrative support to the local team as required
What We’re Looking For
- Minimum of 3–5 years of experience in warehouse, logistics, supply chain, or operations roles
- Experience coordinating with freight forwarders, customs brokers, and logistics providers
- Familiarity with inventory management and warehouse management systems
- Experience in a small to mid‑sized company or start‑up environment is highly regarded
- Exposure to international logistics or multi‑jurisdictional operations is advantageous
Qualifications
- Diploma or Bachelor’s degree in Supply Chain, Logistics, Business Administration, or a related field preferred; equivalent practical experience will also be considered
Skills / Attributes
- Strong organisational skills with high attention to detail and accuracy
- Excellent interpersonal and communication skills
- Proficiency in Chinese (Mandarin) is a plus
- Proficiency in Microsoft Office Suite and inventory/logistics software, with comfort handling basic invoicing and financial record‑keeping
- Ability to manage multiple priorities effectively in a fast‑paced, high‑growth environment
- A proactive, hands‑on approach with a willingness to take on a variety of tasks across warehouse, logistics, and office administration
- Comfortable working autonomously while maintaining strong communication with global teams
