About the Role

We are seeking an organised and resilient Scheduler to join our fast-paced team based at our Darra office.

This is a hybrid role, offering a combination of office-based and work-from-home days following the successful completion of training and subject to operational requirements.

Restoration is a time-sensitive and unpredictable industry. Priorities can change quickly as urgent water damage, fire, mould and biohazard claims are received. The successful candidate will work well under pressure, remain calm when schedules change and confidently coordinate technicians across multiple jobs and locations.

This role requires excellent communication, strong attention to detail and the ability to balance customer needs, client timeframes, technician availability and changing operational priorities.

Key Responsibilities

- Coordinate and manage daily schedules for restoration technicians.

- Allocate new jobs based on urgency, location, technician availability and required skills.





- Respond quickly to urgent claims and adjust schedules when priorities change.

- Communicate scheduling arrangements with customers, clients, technicians and claims management.

- Confirm appointments and keep customers informed of attendance timeframes.

- Manage incoming telephone calls and scheduling-related enquiries.

- Monitor and respond to incoming emails.

- Maintain accurate job notes, appointment details and scheduling records.

- Identify scheduling conflicts and provide practical solutions.

- Assist with coordinating interstate or regional travel when required.

- Work closely with Claims, Project Management and field teams to keep jobs progressing.

- Participate in paid on-call duties on a rotating roster.

The position is full-time, Monday to Friday, with paid on-call duties shared across a rotating roster.

Skills and Experience

- Previous scheduling, coordination, administration or claims experience.

- Experience coordinating field-based employees or mobile service teams is highly regarded.

- Ability to work calmly and effectively under pressure.

- Experience working in a fast-paced, high-energy environment.

- Strong organisational, prioritisation and time-management skills.

- Excellent verbal and written communication skills.

- Strong attention to detail and accurate data-entry skills.

- Confidence managing competing priorities and frequent schedule changes.

- Ability to communicate professionally with customers who may be experiencing stressful circumstances.





- Sound problem-solving and conflict-resolution skills.

- Ability to work independently and remain productive when working remotely.

- Ability to build effective working relationships with technicians, managers and clients.

- Strong Microsoft Office and general computer skills.

- Ability to learn new systems, technology and processes quickly.

- Availability to participate in a paid rotating on-call roster.

- Previous experience in restoration, insurance, construction, emergency response or a similar service-based industry is highly regarded but not essential.

A Day in the Life of a Restoration Scheduler

A typical day may include:

- Reviewing the daily schedule and confirming technician availability.

- Allocating urgent and routine restoration jobs across the field team.

- Responding to emergency claims and reorganising the schedule when priorities change.

- Contacting customers to arrange or confirm attendance times.

- Responding to delays or unexpected site requirements.

- Coordinating follow-up visits, equipment checks, removals and additional works.

- Communicating schedule changes to technicians, customers, Claims Managers and Project Managers.

- Updating job records and ensuring all scheduling notes are accurate.

- Planning upcoming workloads and identifying resource or coverage requirements.

- Assisting with incoming calls and emails throughout the day.

No two days in restoration are the same. This role will suit someone who enjoys solving problems, coordinating people and keeping operations moving in a busy and constantly changing environment.

Previous scheduling, administration, claims, construction or service coordination experience is preferred.
