We're a commercial asset and equipment finance brokerage based in Sydney. We arrange finance for trucks, trailers, earthmoving equipment and business machinery for clients across Australia working with a broad panel of lenders. The business is growing, and we are expanding the team to support that growth.
We are seeking a Settlements Officer to manage every transaction from credit approval through to settlement. This is a newly created role with genuine ownership. You will work directly with the directors to ensure each transaction is completed accurately, efficiently and professionally.
The role
Once a deal is approved, you will manage everything required to bring it to settlement: reviewing approval conditions, collecting outstanding documentation, coordinating the execution of loan documents and settlement with the lender. The role involves regular communication with lenders, dealerships, vendors, accountants and our brokers, as well as with clients where required. You will be the central point of contact for the status of every file.
Key responsibilities
- Manage transactions from credit approval through to settlement across our lender panel
- Review approval conditions and obtain outstanding requirements, including tax invoices, insurance certificates, payout letters, trust deeds and accountant letters
- Prepare and review loan documentation, coordinate signing and follow up execution
- Liaise with dealerships and vendors regarding invoices, asset details and delivery
- Conduct PPSR searches and arrange payouts and encumbrance releases for refinances and private sales
- Book settlements with lenders and confirm disbursements are made correctly
- Confirm settlement with all parties, including the customer, broker, supplier and lender
- Manage post-settlement follow-up, including commission reconciliation, referral partner payments and customer welcome communications
- Maintain accurate records in our CRM (Zoho) so deal status is visible across the team
About you
- 2+ years' experience in settlements, loan processing or operational support (asset finance experience highly regarded)
- Exceptional attention to detail and accuracy
- Strong written and verbal communication skills
- Well organised, with the ability to manage multiple files at different stages simultaneously
- Proactive, with a strong sense of ownership and follow-through
- Reliable and team-oriented, comfortable working closely with a small team
