High-profile APAC role | Extensive international travel coordination
An exciting opportunity has become available for an experienced Executive Assistant to support the APAC Managing Director of a leading professional services organisation.
This is a fast-paced and highly visible role supporting a senior regional leader with a complex remit across multiple markets and time zones. Working closely with the Managing Director, you will play an integral role in managing their operating rhythm, international travel, stakeholder engagement and key regional priorities.
You will also work in conjunction with a dedicated administrator, allowing you to focus on high-level executive support while partnering closely on broader regional projects, meetings and initiatives.
The Role
This is much more than traditional diary management. You will act as a trusted partner to the APAC Managing Director, ensuring they are organised, prepared and able to operate effectively across a busy regional and global schedule.
Key responsibilities will include:
- Own and manage a complex calendar across APAC and global time zones
- Coordinate regional leadership meetings, global forums and key stakeholder touchpoints
- Ensure the Managing Director is fully prepared for meetings, including briefings, presentations, agendas and follow-up actions
- Proactively manage and triage the Managing Director’s inbox, identifying and escalating priorities
- Manage extensive and complex international travel arrangements across the APAC region and globally
- Liaise with local markets to coordinate itineraries, meetings, stakeholder engagement and logistics for market visits
- Draft and coordinate communications on behalf of the Managing Director
- Prepare, review and refine presentations and materials for regional and global stakeholders
- Coordinate regional town halls,
leadership meetings and broader communications
- Organise end-to-end leadership offsites, including agendas, venues, travel, budgets and logistics
- Process expenses and support relevant travel approvals and reporting
- Coordinate quarterly business reviews and key regional reporting requirements
- Work closely with the Administrator to ensure regional projects, meetings and priorities are delivered seamlessly
- Build strong relationships with senior stakeholders across APAC and the broader global business
About You
You will be an experienced Executive Assistant who thrives in a complex, international environment and enjoys working closely with a senior executive.
- Demonstrated experience supporting a Managing Director, CEO, Partner or similarly senior executive
- Experience working within professional services or another complex corporate environment
- Strong experience coordinating high volumes of international travel
- Confidence managing demanding calendars across multiple countries and time zones
- Exceptional organisation skills and the ability to anticipate what is required before being asked
- Strong written communication and presentation skills
- The confidence and maturity to engage with senior stakeholders across different markets and cultures
- A proactive, solutions-focused approach and ability to remain calm when priorities change
- Strong attention to detail and the ability to manage highly confidential information
- A collaborative approach and ability to work effectively alongside a Project Coordinator and broader regional team
