Programming & Production Administrator

Perth Festival | Permanent, full-time | Hybrid | Perth, WA

Perth Festival is Australia's longest-running arts festival, for more than 70 years we've brought world-class performance, music, film, visual arts and literary events to the shores of the Derbarl Yerrigan (Swan River). We're looking for a Programming & Production Administrator to keep our Programming and Production departments running smoothly as we plan and deliver our next Festival.

About the role

This is a varied, fast-paced administration role supporting our Technical Director & Head of Production, Head of Programming and their teams. You'll be the glue that keeps departmental systems, records, contracts and communications on track, working across artist services, stakeholder coordination and production administration so our artistic program runs accurately and efficiently.

You'll report to the Production Services Manager, with the Senior Program Manager as a key working relationship on the Programming side. It's a permanent, full-time position (76 hours per fortnight) with hybrid working arrangements.

What you'll do

- Provide accurate, timely administrative support across the Programming and Production departments, including correspondence, reports, meeting materials, calendars and filing systems.

- Support artist and stakeholder administration, coordinating meetings, preparing briefing materials and responding to routine enquiries.

- Track and administer artist, contractor and supplier agreements, maintaining contract registers and approval records.

- Organise travel, accommodation and logistics arrangements for allocated projects.

- Raise purchase orders, process invoices and expense reconciliations, and support budget tracking.





- Maintain departmental databases, schedules and reporting tools, and provide responsive support during planning and Festival delivery periods.

- Hold responsibility for Artist services during the Festival delivery. This role holds the exciting chance to organise the parties and information packs for artists arrival.

About you

Essential:

- Experience in administration, coordination or project support, ideally in arts, events, production or programming.

- Strong organisational and time-management skills, with the ability to juggle competing priorities.

- Strong written and verbal communication skills, and a track record of building good working relationships with diverse stakeholders.

- High attention to detail and a demonstrated ability to keep accurate, confidential records.

- Confidence with office, database, scheduling, record-management and financial-administration systems.

- Understanding of production and/or programming workflows in an arts, events or festival environment.

- Ability to work independently within established procedures, and collaboratively across two departments.

Desirable:

- Experience in a festival, performing-arts, cultural or not-for-profit organisation.

- Experience supporting programming, production, events or project teams.

- Familiarity with artist services, travel, logistics, contract or financial-administration processes.

- A relevant qualification in administration, business, arts administration or event management.
