About the Role

Reporting to the Administration and Commercial Manager, this role is responsible for delivering outstanding customer service while providing the administration and coordination support required to keep our business operating efficiently.

This is a hands-on coordination role with a strong focus across:

Customer Experience & Communication - 50%
You will be the first point of contact for customers, managing enquiries, preparing quotations and ensuring clients receive professional and timely communication throughout their journey.

Administration, Manufacturing Coordination & Scheduling - 50%
You will coordinate the information flow between customers, quotation, manufacturing and installation teams to ensure jobs are accurately planned, scheduled and delivered efficiently.

This role requires someone who can quickly understand our systems and processes, confidently manage priorities and actively take ownership of their responsibilities.

What You’ll Be Doing





Customer Service & Quotation Preparation

- Managing incoming customer enquiries and providing professional responses

- Understanding customer requirements and gathering information required for quotations

- Preparing customer quotations using our Equation quoting system and established job pricing structures

- Ensuring quotes are accurate, complete and professionally presented

- Coordinating quotation appointments between customers and the quotation team

- Keeping customers informed and updated throughout the job process

- Building solid relationships with customers, suppliers and internal teams

Administration, Manufacturing Coordination & Job Scheduling

- Managing internal and external job scheduling from quotation through to installation

- Maintaining accurate weekly, monthly and annual job schedules

- Supporting the quotation and project teams with accurate job information

- Tracking manufacturing progress and delivery schedules to support effective installation planning

- Coordinating communication between manufacturing, scheduling and installation teams

- Ensuring windows have completed the required quality assurance checks prior to job scheduling, in line with Integ Marine Group’s ISO 9001 Quality Management System

- Managing job records, documentation and filing systems

- Coordinating travel bookings, equipment requirements and job logistics as required

- Identifying potential delays, conflicts or missing information and proactively working to resolve them

About You

You are a friendly, organised, professional and motivated person who enjoys working with people and making things happen.

You may have a background in:

- Customer service

- Administration





- Scheduling or dispatch

- Service coordination

- Project administration

- Trade and manufacturing administration

- Construction or operations support

Marine industry experience is not required. What matters most is your positive attitude, ability to learn quickly and willingness to take ownership.

Skills & Experience

- Demonstrated experience in customer service, administration, scheduling, dispatch, service coordination, or trade/manufacturing administration

- Solid organisational skills and attention to detail

- Ability to manage competing priorities and changing requirements

- Excellent communication and relationship-building skills

- Confidence preparing quotations and managing customer information

- Strong computer skills and confidence learning new systems and software

- Ability to work collaboratively within a team environment

Qualifications

- Year 12 completion preferred
