Shipping Operations Officer – Mackay

Reporting to the Regional Manager Australia

Position Summary

The Operations Coordinator is responsible for the day-to-day coordination of bulk vessel operations from nomination through to completion. Working closely with shipping agents, terminals, surveyors, shippers and clients, the role ensures the effective movement of cargoes while providing accurate operational reporting and support.

The position requires a highly organised individual who can manage multiple vessel movements simultaneously, communicate effectively with stakeholders and work independently. Training will be provided in company systems and laytime calculations.

Key Responsibilities

Vessel Operations

- Coordinate vessel port calls from nomination through to completion.

- Process vessel nominations and maintain shipping schedules.

- Liaise with shipping agents, terminals, surveyors, shippers, vessel operators and other service providers.

- Monitor vessel progress and identify potential operational issues.

- Arrange cargo hold inspections and coordinate survey requirements where necessary.

- Maintain accurate operational records and documentation.

Client Communication

- Provide daily operational updates to clients.

- Respond promptly to client enquiries.

- Ensure accurate and timely communication of vessel status and operational developments.

Laytime Administration

- Review laytime calculations using in-house systems and procedures.

- Assist in resolving discrepancies in operational data.





- Maintain accurate records supporting laytime calculations.

Reporting & Analysis

- Compile operational statistics and performance reports.

- Research operational information from multiple sources.

- Prepare weekly and ad hoc reports for clients and management.

- Identify opportunities to improve reporting efficiency and operational processes.

Continuous Improvement

- Contribute ideas to improve operational efficiency.

- Assist in developing and refining internal procedures.

- Support implementation of new systems and operational initiatives.

Essential Experience

- Minimum 5 years' experience in shipping, logistics, port operations or a related industry.

- Experience coordinating multiple operational activities simultaneously.

- Strong organisational and time management skills.

- Excellent written and verbal communication skills.

- High level of accuracy and attention to detail.

- Strong computer skills, including Microsoft Excel and Microsoft Office.

- Ability to work independently with minimal supervision.

- Ability to prioritise work in a dynamic operational environment.

Desirable Experience

- Experience in bulk shipping operations.

- Shipping agency experience.

- Experience working with coal export supply chains.

- Exposure to vessel scheduling or shipping operations.

- Understanding of charter parties and laytime principles.

- Experience preparing operational reports and performance statistics.

- Experience working with surveyors, terminals or port authorities.
