Finance & Administration Manager

A key part of what we do is educate organisations on the funding, grants and financial support available to them, enabling them to make informed purchasing decisions while connecting them with trusted suppliers that can genuinely add value.
We're looking for an experienced Finance & Administration Manager to become a key member of our team. This is a crucial role responsible for overseeing the finance and administrative functions across the business, ensuring our operations run efficiently, accurately and seamlessly.
Working closely with the Directors and leadership team, you'll take ownership of the day to day financial operations, payroll, administration and office management, becoming an integral part of the business.
About the Role
This is a diverse, hands on position suited to someone who enjoys variety and takes pride in keeping a business running smoothly behind the scenes.
You'll oversee the finance function while also managing key administrative office operations. No two days are the same, so you'll need to be highly organised, proactive and comfortable managing multiple priorities at once.
Key Responsibilities
Finance
- Manage the day to day finance function using Xero.
- Process Accounts Payable, weekly payment runs and supplier payments.
- Manage Accounts Receivable, invoicing and debtor collections.
- Perform daily bank reconciliations and monitor cash flow.
- Process weekly payroll, commissions and contractor payments.
- Prepare and lodge BAS and Superannuation.
- Complete month end reconciliations and financial reporting.
- Prepare Balance Sheet and Profit & Loss reports.
- Maintain financial records and assist with budgeting and reporting.
Administration & Office Management
- Coordinate interviews and new employee onboarding.
- Prepare employment documentation, contracts and offer letters.
- Maintain staff records and leave balances.
- Manage BrightHR and Blip.
- Support payroll, leave management and company policies.
- Manage company administration and documentation.
- Operate HubSpot, DocuSign and internal spreadsheets.
- Coordinate client booking forms and internal processes.
- Support the Directors with diary management and administration.
- Manage office supplies and general office operations.
About You
To be successful in this role you'll have:
- Previous experience in a Finance, Accounts or Administration Management role.
- Strong Xero experience.
- Payroll experience.
- Excellent knowledge of Accounts Payable and Accounts Receivable.
- Outstanding organisational and time management skills.
- Exceptional attention to detail.
- Solid written and verbal communication skills.
- The ability to prioritise and work independently.
- A proactive, solutions focused attitude.
- High levels of integrity and confidentiality.
Experience with HubSpot, Docusign and BrightHR / Blip will be highly regarded.
