Position PurposeSyngenis Labs Ltd is seeking a highly organised and proactive Manufacturing Operations & Procurement Coordinator to join its Manufacturing team. The successful candidate will play a key role in coordinating customer orders, procurement, inventory, logistics, supplier activities, operational documentation, and day-to-day manufacturing support.
As a central point of coordination, the successful candidate will work closely with customers, manufacturing and laboratory teams, suppliers, equipment manufacturers, logistics providers, and other service providers. The role is responsible for supporting efficient operational workflows, ensuring the timely availability of critical materials, coordinating the delivery of customer orders, and maintaining accurate and traceable records in accordance with company procedures and pharmaceutical quality standards.
The successful candidate will demonstrate strong organisational and communication skills, excellent attention to detail, and the ability to manage multiple priorities within a regulated pharmaceutical or scientific manufacturing environment. They will be responsible for maintaining accurate customer, procurement, inventory, shipping, and operational records; supporting effective supplier and customer relationships; and contributing to the achievement of operational and project milestones within defined timelines.

Position SummaryThe Pharmaceutical Operations & Procurement Coordinator plays a key role in supporting the daily operations of a pharmaceutical manufacturing environment. This position is responsible for coordinating customer orders, supporting manufacturing activities,



managing procurement processes, maintaining inventory accuracy, coordinating logistics, and ensuring operational documentation is completed accurately and in a timely manner.
The role acts as a central point of coordination between customers, manufacturing teams, suppliers, laboratories, and service providers to ensure smooth workflow, timely delivery of products, availability of critical materials, and compliance with company procedures and pharmaceutical quality standards.The successful candidate will demonstrate strong organisational skills, attention to detail, and the ability to manage multiple priorities while working within a regulated pharmaceutical environment.
Key ResponsibilitiesOrder Management & Customer CoordinationReview and process customer orders received through the Syngenis Portal and ensure all order details are accurately captured.Maintain complete and organised order documentation, including customer files, order records, and supporting documentation within master material tracker (MMT) and SharePoint systems.Prepare and release customer invoices following completion of manufacturing and order fulfilment activities.Maintain accurate records of customer communications, order changes, and delivery requirements.Provide regular updates to customers regarding order status, delivery timelines, and any operational matters. Customer Service & Commercial SupportReceive customer enquiries and prepare accurate quotations based on customer requirements.Coordinate quotation reviews and approvals with the Director of Manufacturing and relevant internal stakeholders.Issue quotations, order confirmations, and related documentation to customers in a timely manner.Develop and maintain professional relationships with customers by providing responsive and effective support.Assist with resolving customer queries related to orders, documentation, deliveries, and product availability.Ensure customer expectations are managed effectively through clear and timely communication.
Shipping & Logistics CoordinationPrepare and review shipping documentation, including invoices, packing documents, dispatch records, and courier documentation.Coordinate domestic and international shipments as required.Arrange deliveries through approved logistics providers, including courier services such as FedEx.Coordinate delivery schedules with customers and ensure products are dispatched according to agreed timelines.Ensure shipping documentation meets company requirements and applicable regulatory expectations.Maintain accurate shipment records and support traceability requirements.
Procurement & Inventory ManagementManage procurement activities for chemicals, laboratory consumables, production materials,



and spare parts.Monitor inventory levels and conduct regular stock checks to ensure availability of critical materials.Identify purchasing requirements and coordinate replenishment activities to avoid supply interruptions.Obtain supplier quotations and evaluate purchasing options in consultation with relevant stakeholders.Generate purchase orders through the accounts department.Liaise with suppliers regarding quotations, order placement, delivery schedules, and invoice queries.Verify received goods against purchase orders and supplier documentation.Maintain accurate inventory records and update Lab Collector following receipt of materials.Notify laboratory and operational teams regarding availability of incoming materials.Support inventory control activities, including stock reconciliation and record maintenance.
Supplier, Vendor & Service CoordinationDevelop and maintain effective working relationships with suppliers, service providers, and equipment manufacturers.Coordinate chemical waste disposal activities, including waste collection and other regulated waste management services.Liaise with instrument manufacturers and service providers to schedule preventive maintenance (PM) activities.Coordinate equipment servicing, repairs, and maintenance visits to minimise operational disruptions.Maintain service records, certificates, and related documentation.Follow up on service reports and ensure required actions are completed.
Documentation, Quality & Compliance SupportMaintain accurate and complete operational records within SharePoint, MMT, Lab Collector, and other company systems.Ensure procurement, shipping, inventory, and customer documentation is completed in accordance with company procedures.Support documentation practices aligned with pharmaceutical quality standards and GMP principles.Assist with maintaining traceability of materials, products, and operational activities.Identify opportunities to improve operational processes, documentation systems, and workflow efficiency.Support internal audits and continuous improvement initiatives when required.
QualificationsCertificate, Diploma, or Bachelor's degree in Science, Pharmaceutical Science, Operations Management, or a related discipline is preferred.Additional training or experience in pharmaceutical, laboratory, or regulated manufacturing environments will be highly regarded.
ExperiencePrevious experience in operations coordination, procurement, supply chain, customer service, administration, or manufacturing support.Experience working within a pharmaceutical, biotechnology, laboratory, chemical, or scientific manufacturing environment is desirable.Experience managing supplier relationships and purchase processes.Experience using ERP, inventory management, procurement, or document management systems is advantageous.Understanding of GMP principles, quality systems, and controlled documentation practices is preferred.
