About the Role

This is a varied, quick-paced role where no two days are the same.

As our Operations Officer, you'll become the central point of coordination between participants, families, practitioners and our Operations team. From welcoming new participants into our service through to supporting compliance, scheduling and day-to-day operations, you'll play an essential role in ensuring people receive high-quality support.

You'll be responsible for coordinating participant intake, maintaining accurate records, supporting practitioner scheduling, monitoring compliance requirements and assisting with the smooth day-to-day running of the organisation.

This is a full-time, office-based position located in Kilkenny, South Australia.

Key Responsibilities
Participant Intake & Coordination

- Be the first point of contact for new enquiries and referrals.

- Coordinate participant onboarding, service agreements and system setup.

- Match participants with practitioners based on their needs and availability.

- Coordinate participant offboarding and service closure processes.

Operations, Compliance & Administration





- Monitor Restrictive Practice documentation and PRODA compliance requirements.

- Maintain accurate participant records, funding information and schedules.

- Follow up outstanding case notes and support compliance requirements.

- Support invoicing and monitor outstanding accounts.

- Prepare spreadsheets and reports for internal auditing and NDIS compliance.

- Assist the Operations Manager with daily operational activities.

- Identify opportunities to improve systems and administrative processes.

Scheduling & Stakeholder Engagement

- Coordinate practitioner schedules and appointments.

- Build positive relationships with participants, families, Support Coordinators, Local Area Coordinators and external stakeholders.

- Provide professional phone support, including responding to enquiries and complaints.

- Deliver an exceptional participant experience from first contact through to service delivery.

About You

We're looking for someone who is highly organised, proactive and genuinely enjoys helping people.

You will ideally have:

- Experience in an intake, administration, scheduling or operations role.

- Experience within the NDIS, disability, allied health or mental health sector.

- A strong understanding of NDIS terminology and participant funding.

- Experience using Splose or similar client management software (desirable).

- Exceptional written and verbal English communication skills, with the ability to produce professional correspondence to a very high standard.

- Outstanding telephone communication and interpersonal skills.

- Excellent organisational and time management skills.

- The ability to manage multiple competing priorities while maintaining exceptional attention to detail.

- Strong problem-solving skills and the confidence to work independently.





- High proficiency in Microsoft Office.

- Understanding of Behaviour Support and Restrictive Practice terminology (advantageous).

Requirements

Applicants must:

- Be an Australian Citizen, Permanent Resident or hold valid Australian working rights.

- Hold, or be willing to obtain, an NDIS Worker Screening Check.

- Hold, or be willing to obtain, a Working with Children Check.

- Hold a current Australian Driver's Licence.
