Equipment Sales Administrator
Location: Narangba, QLD
Full-time | Head Office
We are seeking an organised and detail-focused Equipment Sales Administrator to join our Finance team at our Narangba Head Office.
This is a varied coordination role supporting equipment transactions from the initial supplier order through to customer delivery and invoicing. Working closely with our Sales, Finance and Service teams, you will help keep transactions progressing, systems accurate and stakeholders informed.
This position would suit an experienced sales administrator who enjoys managing multiple transactions, following up outstanding actions and bringing structure to a busy process.
About the role
Your key responsibilities will include:
- Coordinating equipment orders with manufacturers and suppliers
- Monitoring build dates, production schedules, shipping and delivery milestones
- Maintaining equipment tracking reports and transaction registers
- Keeping the Sales team informed of progress, changes and delays
- Liaising with suppliers, freight providers and internal departments
- Processing customer orders through the ERP system
- Preparing sales documentation and coordinating supporting paperwork
- Maintaining accurate customer, equipment and pricing information
- Assisting with finance and settlement documentation where required
- Working with Sales and Finance to coordinate invoicing and transaction completion
- Assisting with month-end processing relating to equipment sales
- Ensuring equipment movements and transaction milestones are accurately recorded
- Identifying discrepancies and following up outstanding information
- Maintaining complete and accurate records for each equipment transaction
- Supporting improvements to equipment sales administration processes
About you
To be successful in this role, you will have:
- Previous experience in sales administration, equipment administration or a similar transactional role
- Robust organisational and coordination skills
- Excellent accuracy and attention to detail
- The ability to manage multiple transactions and competing priorities
- Well-developed written and verbal communication skills
- Strong Microsoft Office skills and experience using ERP systems
- A proactive approach to following up outstanding actions
- The ability to build effective working relationships across different departments
- A reliable, accountable and team-focused approach
Experience in the heavy equipment, automotive, industrial, manufacturing or wholesale distribution sectors would be highly regarded. Experience using Pronto or a similar ERP system, together with an understanding of finance documentation and sales transaction processes, would also be an advantage.
