We are seeking a highly capable and proactive professional to support both executive administration and the operational management of a busy professional services practice. In addition to the usual EA responsibilities, this role requires someone who has strong experience with workflow coordination, client and engagement administration, billing discipline, document control and the systems that help a professional services firm run effectively.
This role will suit someone who is organised, resilient and adaptable, with the confidence to work across a wide range of responsibilities. You will support senior leaders, coordinate day-to-day office operations, assist with client and practice management processes, and help identify practical ways to improve efficiency as the organisation continues to grow.
This is more than a traditional executive administration role. While the executive support component requires exceptional attention to detail, strong judgement and the ability to move quickly without sacrificing accuracy; the role also provides broader exposure across office operations, process improvement and practice management in a rapidly growing, global professional services environment.
Key Responsibilities
Executive Administration
· Provide high-quality administrative and organisational support to senior leaders.
· Manage complex diaries, meetings, appointments, travel arrangements and associated logistics, often across multiple time zones.
· Prepare, format and proofread correspondence, reports, presentations, agreements and other skilled documents.
· Anticipate priorities, identify potential issues early and help keep key activities moving.
· Act as a professional liaison point with internal and external stakeholders.
Practice Operations
· Support client and job management processes, including engagement setup,
contract compliance, document control and workflow coordination.
· Assist with practice management processes including billing milestones, invoicing support, reporting, reconciliations and follow-up of outstanding actions.
· Help coordinate deadlines, follow-ups and action items across the team.
· Support the preparation and maintenance of templates, registers, procedures and internal guidance materials to support consistency and accountability.
· Ensure the smooth day-to-day running of the office, including reception, facilities, supplies, equipment and general office coordination.
· Support a professional, organised and welcoming office environment for staff, clients and visitors.
· Coordinate with suppliers, service providers and building management as required.
· Assist with staff onboarding, office processes and internal administration requirements.
· Contribute to the continuous improvement of systems, processes and ways of working.
About You
You are an experienced administration professional who understands that effective executive support is about more than calendar management. You are responsive, highly detail-oriented and able to work at pace, particularly when supporting senior stakeholders who rely on accuracy, follow-through and quick turnaround.
You bring a practical, improvement-focused mindset and can see where processes could be clearer, faster or more efficient.
You are not only willing to follow established processes, but also confident enough to suggest better ways of working when something can be improved.
To be successful in this role, you will bring:
· Strong experience in executive administration or practice support within legal or other professional services sectors.
· A mindset for process improvement, efficiency and practical problem-solving. You can identify inefficiencies and suggest improvements without overcomplicating things.
· Resilience and adaptability in a fast-changing, rapidly growing organisation.
· Excellent attention to detail, accuracy and follow-through. You must excel at delivering both quality and quantity of work at pace.
· The confidence to follow up, unblock issues and keep tasks moving.
· Strong written and verbal communication skills, with the ability to prepare polished professional documents to an exacting standard.
· Sound judgement, discretion and the confidence to work with confidential information.
· The ability to manage competing priorities, anticipate needs and stay calm under pressure.
· Advanced Microsoft Office skills, particularly Word, PowerPoint, Excel and Outlook.
· Confidence learning new systems and improving the way information, documents and workflows are managed.
· Experience with practice management or billing software is desirable.
· Enjoyment of a varied work environment that requires constant switching between executive support, office coordination and practice administration.
