We Are Looking For
Reporting and working closely with the Executive Assistant to the CEO, you will play an important role in maintaining high standards of organisation and business support, while assisting with meeting coordination and general office administration. This is an excellent development prospect for someone with the right attitude and ability, who is ready to take the next step in their career into executive support at a C-Suite level.
What You’ll Be Doing
- Monitoring email correspondence, triaging what is important, and prioritising communications in the CEO’s office
- Escalate issues appropriately and seek guidance when priorities conflict
- Handle sensitive and confidential information with discretion
- Assist with managing the CEO’s calendar, including scheduling and coordinating meetings with internal and external stakeholders, and organising travel arrangements including flights, accommodation and vehicle hire
- Preparing meeting agendas, attend meetings as required to take minutes, track outcomes and follow up on action points
- Jump between tasks and projects, ensuring nothing falls behind
- Manage PO approvals, producing and consolidating reports, maintaining contact databases and office filing systems
- Monitor and order office supplies, ensuring adequate stock levels are maintained
- Assist with maintaining a clean, organised, and efficient office environment
- Other general ad hoc administrative duties as requested by the CEO and EA to the CEO
About You
- Friendly, confident, with a can-do attitude
- Proactive and eager to learn
- Highly organised, excellent attention to detail
- A strong communicator, both verbally and in written correspondence
- Exceptional organisational and time management skills, with the ability to prioritise and juggle competing demands
- Discretion and the ability to handle sensitive information with the utmost confidentiality
- Proficiency with Microsoft Suite
- Any prior experience in administration, office coordination/management, customer service, and/or event assistance preferred
- Exposure to supporting senior leaders or executives advantageous
- Certificate or Diploma in Business, Events, Communications, Marketing or related field also advantageous
