Why Your Role Matters
The Administrative Officer, Exams provides day-to-day administrative support within Student Lifecycle, helping to ensure services are delivered efficiently and meet the operational needs of the Registrar & Student Services Unit (RASS) within the Division of the Deputy Vice-Chancellor Education & Student Experience.
The position undertakes a range of high-quality, customer-focused administrative processes and communications.
The role has a particular focus on the central management of examinations and the coordination of student records, while also developing broad knowledge across the administration of the student lifecycle.
The UNSW Exams team is small but plays a significant role, managing approximately 40,000 exam sittings each term.
The role reports to the Examinations Team Leader, supports the Examinations Manager, and has no direct reports.
Key Responsibilities Include
Maintain undergraduate, postgraduate coursework and non-award student academic records
Under the direction of the Exams Team Leader, assist with the preparation and delivery of all centrally managed examinations both on and off campus, including casual exam staff recruitment and rostering
Assist with the management of examinations for students with specific examination requirements
Develop a thorough knowledge of and be able to interpret UNSW policies and procedures and provide advice to staff and students on the policies and procedures
Provide high level administrative support to the Examinations and other nominated teams across Student Lifecycle
Develop and maintain detailed filing systems, spreadsheets, databases, websites and other administrative systems
Respond to a range of in-person, telephone and email enquiries from internal and external stakeholders, and initiate, action or escalation as necessary
Participate in relevant projects and business improvement activities
Support the set up and rostering of casual team members hired for exam periods
About You
We are looking for a strong communicator and administrator who is keen to be part of a close-knit, hard-working team.
The successful candidate will also have:
Experience working in exams within higher education
Previous administrative experience with high attention to detail
High-level computer literacy, including excellent proficiency in Microsoft Office applications and the ability to learn new software
Ability to remain calm in high-pressure environments
Advanced time management, organisational, and problem-solving skills
Experience coordinating casual staff and workforce rosters, or a willingness to learn how to set up and manage rostering processes
Ability to work the required hours, including during exam periods
Working hours outside of exam periods are generally Monday to Friday during business hours, and the role operates on a hybrid basis during these times (with 2 days per week required onsite).
The role includes a six-week leave blackout period each term, leading up to and including the examination periods.
During the examination periods full onsite attendance is required, with working hours scheduled between 8:00 am and 6:00 pm, Monday to Saturday.
Overtime and weekend work will be required, with appropriate compensation provided.
Interviews for the role will begin on 31 August, and we would like the successful candidate to commence as soon as possible before the next exam period begins.
