About You

You enjoy being organised, take pride in getting the details right and genuinely like helping people. You're confident using computers, can touch type while speaking with customers and can juggle multiple priorities without becoming flustered.

The Opportunity

We are looking for an experienced, highly organised Office Administrator to play a pivotal role supporting the daily operations of both Riviera Plumbing and Riviera Electrical Services.

You'll thrive in this role if you enjoy working in a fast-paced environment, can confidently manage competing priorities and take pride in producing accurate, high-quality work.

This is not an entry-level administration or receptionist position. We're looking for someone who can think ahead, solve problems, work with minimal supervision after training and become a trusted member of our team.

Key Responsibilities

- Act as the primary point of contact for customers, suppliers, tradespeople and other business stakeholders, ensuring enquiries are managed professionally and efficiently.

- Professionally answer incoming phone calls and accurately record customer information.

- Schedule plumbing and electrical jobs using our software.

- Process invoices, receipts and payments.

- General bookkeeping support using Xero.





- Maintain accurate customer and job records.

- Prepare a wide-ranging range of documents and correspondence.

- Coordinate general office administration, document management and stock control.

- Support Workplace Health & Safety administration and compliance.

- Provide proactive administrative support to the Directors while coordinating priorities,

- managing follow-up actions and contributing to the efficient day-to-day operation and

- continuous improvement of the business.

Essential Requirements

- A minimum Certificate IV Business or Office Administration, or equivalent demonstrated industry experience.

- Excellent written and verbal communication skills with exceptional attention to detail and a high level of accuracy.

- Strong computer literacy and the ability to quickly learn and confidently use multiple software systems.

- Demonstrated proficiency using Microsoft Office, particularly Word and Excel.

- Experience using Xero or a similar accounting software package.

- Demonstrated touch typing skills with the ability to accurately enter information while speaking with customers.

- A confident, friendly and professional telephone manner.

- Strong organisational and time management skills.

- The ability to work independently, use initiative and solve problems.

- A reliable work ethic with a willingness to learn and contribute to the team

Highly Regarded

- Previous experience in the plumbing, electrical or construction industry.

- Experience using scheduling software and coordinating field staff.





- Bookkeeping or accounts administration experience.

- Knowledge of WHS administration and compliance documentation.

- Experience with social media management, digital marketing or email marketing platforms.

- 38-hour week with a 30-minute lunch break

- Hours: Monday 7:30 am – 4:00 pm, Tuesday to Friday 7:30 am – 3:30 pm
