About the role
This is a hybrid role — part high-calibre Executive Assistant, part technical coordinator — supporting our Chief Operating Officer, whose remit spans operations as well as the technology-leadership functions of the business. You’ll keep the COO organised and a step ahead of the day, while also rolling up your sleeves on the technical and operational work that keeps a modern MSP moving.
One day you might be preparing board and leadership reporting, coordinating across service delivery, projects and vendors, and shaping the COO’s week; the next you could be building an automation, enabling the team via SharePoint, or piloting a new AI workflow for the wider team. Exposure to and enthusiasm for Large Language Models (LLMs) is essential — you’ll be an early adopter and internal champion for how we put AI to work.
It’s a genuinely broad brief, ideal for someone with a strong Microsoft background who’s ready for a change or wider exposure — a service desk or support professional, a technical coordinator, or a technically-minded EA who wants a seat close to the executive table and room to grow.
Key responsibilities will include (but are not limited to):
Executive support & organisation
- Proactively manage the COO’s appointments priorities,
protecting focus time and keeping commitments on track.
- Prepare agendas, papers, presentations and minutes for board, leadership and client meetings, then follow through on actions.
- Act as a trusted gatekeeper and first point of contact, coordinating across the leadership team, staff, clients and vendors.
Technical & MSP coordination
- Coordinate technical and operational tasks on the COO’s behalf across service delivery, projects, procurement and vendors.
- Maintain documentation, runbooks and knowledge in Microsoft 365 (SharePoint, Teams, OneNote), keeping information accurate and easy to find.
- Help track initiatives, licences, assets and vendor activities, chasing updates and flagging risks before they become issues.
AI adoption & automation
- Use LLMs, Microsoft 365 Copilot & Tecala’s own Agentverse daily to draft, summarise, research and streamline the COO’s workload.
- Pilot, document and champion practical AI and automation workflows, helping the wider business adopt them safely and well.
- Build lightweight automations (e.g. Power Automate) to remove repetitive manual work.
Reporting & communications
- Produce clear, accurate reports, dashboards and updates for leadership and clients, on time and to a high standard.
- Draft professional correspondence and communications in the COO’s voice.
What we're looking for
Required skills and experience
- Genuine, hands-on exposure to LLMs (e.g. Copilot, ChatGPT, Claude) and a real enthusiasm for adopting AI — this is a must.
- A strong Microsoft focus, with confident, practical skills across Microsoft 365 — Outlook, Teams, SharePoint, Word, Excel and PowerPoint; Power Platform, Azure or Networking familiarity is a plus.
- Exceptional organisation, time management and attention to detail, with the ability to juggle competing priorities and deadlines.
- Excellent written and verbal communication, and the discretion to handle confidential information with care.
- A proactive, resourceful, can-do mindset — comfortable working independently and taking the initiative.
- Experience in an MSP, ICT or technology environment is highly regarded; a support, coordinator or technical EA background looking for broader exposure is a great fit.
