Medical Cannabis — Clinic & Telehealth Operations
Location: Caulfield South, VIC (onsite)
Type: Full time (38 hours/week), 6-month probation with a 4-week check-in
Salary: $65,000 – $72,000 + superannuation, depending on experience, with a structured salary review at 6 months tied to agreed goals

About us
CannaPath (cannapath.com.au) is an Australian medical cannabis concierge platform helping patients navigate legal, doctor-led medical cannabis care. We work with two partner clinics: Thrive Holistic Centre (THC), a telehealth-first clinic, and Centre 4 Health (C4H), a face-to-face integrative medicine clinic in Caulfield South. Everything we do is TGA-regulated, prescription-based healthcare — and we are growing fast.
The role
You will be the operational hub of our clinics and platform. Based front-of-house at Centre 4 Health, you will also run the day-to-day coordination for THC’s telehealth patients and CannaPath’s patient onboarding. This is a role for someone sharp and organised who loves systems, picks up new software quickly, and wants to grow into practice management as we scale.
What you’ll do
- Front of house at C4H — welcome patients, manage the day list, keep consulting rooms ready and the clinic running smoothly.
- Run our practice management software (currently Halaxy) — appointments, patient records, invoicing, payments and recalls.
- Support our prescribers while they consult — prepare patient files, process payments, take medication orders and make sure every patient leaves knowing exactly how they will receive their medicine.
- Manage electronic prescriptions (eRx) and liaise with our partner pharmacies — track script fulfilment, chase delays and keep patients informed until their medicine arrives.
- Handle Medicare and PRODA — process claims and bulk-billing through PRODA/HPOS and keep provider details up to date.
- Coordinate telehealth bookings for THC — scheduling, confirmations, reminders and follow-ups across calendars and booking systems.
- Manage patient onboarding through CannaPath — intake forms, document checks and eligibility paperwork before first appointments.
- Own the shared inboxes and phones — triage patient enquiries and script requests, responding within the same business day.
- Produce a simple weekly operations snapshot — bookings, scripts processed, payments, follow-ups outstanding.
- Support our practitioners with non-clinical admin — referrals, GP health summaries and prescribing paperwork logistics.
About you
- Sharp and self-directed. You keep ten plates spinning without being told twice, and you follow through.
- Technically fluent. Confident with Google Workspace and quick to master new tools — practice software, booking systems, Slack. Prior experience with Halaxy, eRx, Medicare/PRODA or similar is a plus, but we will train the right person.
- A clear communicator. Excellent written English and a warm, professional phone manner with patients of all ages.
- Discreet. Comfortable handling sensitive health information with total confidentiality.
- Comfortable with the sector. Happy to work in legal, doctor-prescribed medical cannabis care.
No healthcare experience required — we hire for sharpness and attitude and will train the rest. Early-career applicants and recent graduates are warmly encouraged to apply.
Nice to have
- Medical reception, allied health or pharmacy admin experience.
- Hands-on experience with practice management software (Halaxy, Best Practice, Cliniko or similar), eRx or Medicare claiming.
- Certificate III/IV in Business, Health Administration or similar.
- A second language.
