We are looking for a Facilities and Assets Administration Support Officer to provide high-level administrative and systems support to our Facilities and Assets team, including fleet. This role supports service requests, contractor coordination, maintenance records, compliance requirements, asset lists, site schedules, planned preventative maintenance programs and the ongoing use of systems such as a Computer Maintenance Management System.
The Opportunity
This is a hands-on, customer-focused role sitting within our Operations team in Bowen Hills, where you will be a key point of contact for facilities, maintenance, asset and fleet-related enquiries, helping ensure requests are triaged, coordinated and followed through in a timely and professional way.
You’ll work with internal teams, contractors, suppliers, property managers and service providers to keep facilities and asset processes moving - from service desk updates and work orders through to compliance records, invoices, procurement support and reporting.
This role would suit someone who enjoys variety, takes pride in being organised, and likes being the person who helps connect the dots across people, systems and practical operations.
Salary for this position is $80,000 - $85,000 plus Superannuation and Salary Packaging options to increase your take-home pay.
What You’ll Be Doing
You’ll bring together administration, customer service, coordination and systems support, including:
- Acting as a first point of contact for facilities, maintenance, asset and fleet enquiries and service requests.
- Monitoring the Asset Service Desk and keeping stakeholders updated on progress, outcomes and timeframes.
- Coordinating scheduled and reactive maintenance activities with contractors and service providers.
- Maintaining accurate records, databases, registers, work requests, supplier information and administrative documentation.
- Supporting asset management activities, logistics, fleet administration and service delivery initiatives.
- Supporting procurement, contractor invoicing and financial administration processes.
You’ll be part of a team that supports the practical, day-to-day operations behind our services - helping our sites, teams and contractors stay connected, informed and well supported.
About You
You’re organised, responsive and comfortable managing competing priorities. You enjoy working with systems and information, but you’re just as strong when it comes to people - building positive relationships, communicating clearly and following things through.
You’ll bring:
- Previous experience in facilities management, asset coordination or a related field.
- Experience in a multifunctional administrative role, including strong attention to detail, independence and workload management.
- An understanding of computer-based maintenance management systems, asset management and service request processes.
- Strong computer skills, including Microsoft Office, SharePoint and Power BI, with experience using financial systems.
- Confidence engaging with a wide range of internal and external stakeholders, including contractors and service providers.
- The ability to analyse problems, look for root causes and support practical solutions.
- A general understanding of property, procurement, facilities and fleet operations.
- Basic knowledge of current legislation, standards and practices relating to facilities and maintenance compliance.
You’ll also need to complete a National Police History Check, hold a current Australian-issued Driver Licence, and be able to travel interstate and intrastate as required.
