Job Description
Executive Assistant to CEO and EGM Commercial & Property
/n
Airport Development Group is seeking an experienced Executive Assistant to provide high-level support to the Chief Executive Officer and Executive General Manger, Commercial & Property.
/n
This is a senior Executive Assistant role in a busy corporate and government-facing environment. The role requires a confident, skilled, and highly organised individual who can manage competing priorities, maintain confidentiality, and communicate effectively with senior executives, Board members, corporate partners, government representatives, and internal teams.
/n
You will provide high-level administrative, coordination, and stakeholder support to the CEO and EGM Commercial & Property. You will also support effective communication and follow-through across key business areas, including the coordination of priorities, actions, deadlines, meetings, and executive correspondence.

About the Role
/n
The Executive Assistant will support the CEO and EGM Commercial & Property with diary management, meeting coordination, travel, correspondence, document preparation, stakeholder engagement, and executive administration.
/n
This role requires strong judgement, attention to detail, and the ability to work confidently in a confidential and time-sensitive environment. You will be expected to anticipate priorities, manage competing demands, and support the smooth flow of information between senior leaders, internal teams, external partners, and government stakeholders.
/n
Key Responsibilities
/n
/n
- Manage complex diaries, meetings, travel arrangements, and expenses for CEO & EGM Commercial & Property.
/n
- Screen, prioritise, and coordinate emails, calls, correspondence, and meeting requests.
/n
- Prepare, format, and coordinate Board papers, reports, presentations, briefings, and high-level correspondence.
/n
- Coordinate internal and external stakeholder meetings,
including meetings with government agencies, senior executives, corporate partners, and other external stakeholders.
/n
- Support the preparation and processing of Capex applications, invoices, and purchase orders using Tech One,
/n
- Supervise the Office Coordinator and support day-to-day office operations.
/n
- Plan and coordinate key corporate events, stakeholder functions, executive meetings, and related logistics.
/n
- Act as a key liaison across Commercial Business Units, supporting clear communication, timely follow-up, and completion of agreed actions.
/n
- Maintain accurate records, filing systems, registers, and document management processes.
/n
- Handle confidential and sensitive information with integrity, discretion, and professionalism.
/n/n
What You'll Bring
/n
/n
- Demonstrated experience in a senior Executive Assistant role or comparable executive support position.
/n
- Experience supporting a CEO, Executive General Manager, Managing Director, Board Chair, or equivalent senior executive.
/n
- Experience preparing, formatting, and coordinating executive-level documents, including Board papers, briefing notes, reports, presentations, and formal correspondence.
/n
- Strong stakeholder engagement skills, including experience dealing with senior executives, Board members, government representatives, corporate partners, and internal business leaders.
/n
- Demonstrated ability to work with discretion, judgement, and professionalism in a confidential and time-sensitive environment.
/n
- Advanced Microsoft Office skills, including Outlook, Word, Excel, Power Point, Teams, and document management systems.
/n
- Strong written communication skills, attention to detail, and ability to track actions through to completion.
/n
- Ability to work independently, show initiative, and adapt quickly to changing priorities.
/n
- Eligibility to hold an Aviation Security Identification Card, ASIC.
/n
- Ability to pass an Australian Federal Police Check.
/n
- Qualifications in Business Administration or a related discipline.
/n
- Experience working in, alongside, or supporting government and regulatory environments.
/n
- Experience in aviation, infrastructure, property, commercial, or corporate environments.
/n
- Familiarity with Share Point and Tech One.
/n/n
