Role overview
The Senior Clinic Support Frontline Administrator plays a key role in ensuring the smooth day to day operation of our busy mental health clinics by providing advanced frontline administrative support and delivering an exceptional client experience. As an experienced member of the Clinic Support team, this role assists in creating a welcoming, supportive and professional environment for clients, families, clinicians and service providers while maintaining the highest standards of confidentiality, privacy and care.
Working closely with the Clinic Support Team Leader, the Senior Frontline Administrator supports the daily operational needs of the clinic by managing more complex administrative tasks, assisting with client enquiries and administrative processes, and acting as a knowledgeable resource for the Frontline team. The role contributes to consistent service delivery by sharing knowledge, supporting onboarding, and identifying opportunities to improve administrative processes.
The Senior Frontline Administrator works independently within established procedures and demonstrates advanced knowledge of Clarity Health Care services, referral pathways and clinic systems. This role requires a strong understanding of mental health presentations, excellent organisational skills, and a compassionate, person centred approach when supporting clients, families, clinicians and service providers.
Available to work Tuesday to Saturday.
- Tuesday – Friday 8.30am – 5pm
- Saturday – 8.30am – 2pm

Clarity Health Care is an accredited mental health service providing multidisciplinary, evidence-based care to individuals experiencing mental health concerns or diagnosed mental illness.
Our team includes psychiatrists, psychologists, social workers, occupational therapists, and registered nurses who work collaboratively under recovery-oriented and bio-psycho-social models of care.

Key Responsibilities
- Provide day-to-day leadership and support to the administration team, assisting with workflow management and prioritisation.
- Delegate and coordinate daily administrative tasks to ensure the smooth and efficient operation of the clinic.
- Support the team in resolving complex or high-priority issues while maintaining a high standard of client service and operational excellence.
- Demonstrate a sound understanding of CHC and partner program services and service offerings to confidently provide information and guidance to current and prospective clients
- Take responsibility for clinic presentation, ensuring spaces are clean, organised, and aligned with safety and care standards
- Answer enquiries, manage appointments, and greet clients warmly
- Assist clinicians with administrative tasks and scheduling
- Support partner programs with billing, data entry, and reporting
- Liaise with internal and external stakeholders professionally
- Manage confidential information and adhere to privacy standards
- Adapt to the changing needs of a dynamic clinical setting
About you
- Minimum 5+ years of experience in a Senior administrative or Senior clinic support role
- Strong verbal and written communication skills with a friendly,
empathetic, and professional approach
- Ability to work effectively in a fast-paced clinic environment while managing multiple tasks and competing priorities
- High level of attention to detail and organisation
- Confidence in handling challenging conversations
- Strong administration and problem-solving skills
- Billing and data management experience in a medical or allied health setting is highly regarded
- Ability to work both independently and collaboratively within a team across locations
- Knowledge or understanding of mental health services
- Experience using different computer systems – Microsoft 365, Word, Excel, Powerpoint, Teams, knowledge of Halaxy is an advantage
- You will hold a current Working With Children Check and Police Check (or be willing to obtain both prior to commencement).
